Wesleyan University Administrative Assistant III, Continuing Studies Program (1.0 FTE) in Middletown, Connecticut

Wesleyan’s Continuing Studies programs currently include Graduate Liberal Studies (GLS), Bachelor of Liberal Studies (BLS), undergraduate Summer Session and Winter Session, and undergraduate Community Scholars. Continuing Studies also incubates new academic programs as pilot projects by developing program models and budgets.

Under the supervision of the Associate Director of Finance & Administrative Services, the Administrative Assistant III is responsible for supporting work for all Continuing Studies programs including Graduate Liberal Studies, Bachelor of Liberal Studies, Winter Session, Summer Session and other programs as needed.

Responsibilities include:

Student Services and Enrollment

  • Maintain all student files using WorkDay, Slate, PeopleSoft and DocFinity.

  • Add new students and update student information.

  • Process manual registrations and withdrawals.

  • Enter student workers in the payroll system, review and approve time cards.

  • Work closely with other departments to reserve classrooms and other meeting spaces.

Account Management

  • Verify registration payments, bill tuitions and follow up on late payments.

  • Process tuition payments.

  • Process accounts payables including setting up suppliers, processing invoices, and reconciling department purchasing cards.

Administrative Support

  • Process incoming mail, update and maintain standard forms and letters.

  • Reply to general inquiries via email and phone.

  • Create and send letters and emails.

  • Maintain office supply inventory and purchase supplies as needed.

  • Act as primary contact with Physical Plant, ITS and other departments to resolve issues in the office space.

Curriculum Support

  • Create curriculum packets twice a year for review by the GLS Faculty Advisory Committee.

Website Support

  • Manage Continuing Studies websites, including posting course information, class cancellations, updating calendars, events and other information as needed.

Other related duties and projects as assigned.

This will be a hybrid position, must be able to work on campus for the first ninety days and subsequently as needed. Hybrid work is only considered for residents of MA, VT, NH, ME, CT, RI, or NY.

This position is in the secretarial/clerical bargaining unit. This position works 35 hours per week for 52 weeks per year.

Minimum Qualifications

  • Associate’s degree and two years related experience or an equivalent combination of education, training, and experience.

  • Demonstrated attention to detail.

  • Demonstrated proficiency in Word, Excel and Outlook.

  • Proficiency in, or willingness to learn, Adobe Acrobat, Workday, Workforce, and other platforms adopted by the University.

  • Previous experience with database management applications.

  • Proven ability to manage multiple tasks.

  • Effective communication skills.

  • Discretion, tact, and high regard for confidentiality.

  • Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds.

Preferred Qualifications

  • Experience working in an academic setting and/or marketing, event planning, or student services.

  • Knowledge of financial responsibilities such as processing payments and invoices.

  • Knowledge of website management.
