Your Specific Responsibilities:

This position is responsible for the professional and efficient handling of the Florida Breast & Cervical Cancer Early Detection Program (FBCCEDP) appointment line, as well as a variety of clerical duties that support client services, providing information and referral as needed. Incumbent always adheres to all HIPAA regulations and guidelines and reports directly to the Senior Human Services Program Specialist.

Incumbent is responsible for answering the FBCCEDP appointment line. This includes greeting callers in a prompt, polite and helpful manner and providing any necessary information. Conducts phone interviews, retrieving information from the FMMIS system to determine eligibility for each client. Schedules appointments and maintain the appointment scheduler in the Health Management System (HMS) for all the family planning clinics using a computer. Obtains and enter new client demographics and information as necessary in HMS and maintains accuracy. Communicates with the family planning clinic staff regarding appointment of each client. Generates reports and other statistical data.

Incumbent will be responsible to assist the program’s Administrative Assistant II with weekly reconciliation of bills and invoices by ensuring billing information is accurate.

Assist in clerical duties as needed. Attends staff meetings and trainings for up-to-date information and to enhance professional growth. Prioritize work assignments. Attends a minimum of two health fairs/community outreach activities per year.

Performs other related duties as required.

Required Knowledge, Skills, and Abilities:

Knowledge of the structure and content of the English and Spanish Languages, including the meaning and spelling of words, rules of composition, grammar and pronunciation; Knowledge and proficiency with computers and various computer programs; Knowledge of principles and processes for providing customer and personal services, this includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction; Ability to deal with the public in a tactful, courteous and effective manner; Ability to interview clients; Ability to record and evaluate data relating to assistance for health care or community services; Ability to follow instructions; Ability to communicate effectively and establish and maintain effective working relationships with others; Ability to keep accurate records; Ability to organize and maintain filing systems.

Qualifications:

Experience performing secretarial work, experience collecting and processing demographic information.

Preferred - Incumbent in this position is preferred to be bilingual in English and Spanish.
