Key Responsibilities:

  • Office Operations Management: Oversee daily office operations and administrative staff, ensuring that workflows are efficient and effective.

  • Policy Development: Develop, implement, and enforce office policies and procedures to create a productive work environment.

  • Safety and Security: Ensure a safe and secure office environment by regularly assessing risks and implementing appropriate measures.

  • Financial Oversight: Manage office budgets and financial records, including billing and invoicing, to ensure fiscal responsibility.

  • Event Coordination: Plan and coordinate office events and meetings, facilitating logistics and ensuring all details are handled seamlessly.

  • Equipment Maintenance: Maintain office equipment and oversee maintenance and repair services to minimize downtime.

  • Supply Management: Order and manage office supplies and inventory, ensuring that resources are readily available for staff.

  • Staff Support: Assist with the recruitment, hiring, and training of administrative staff to build a strong, capable team.

  • Vendor Relations: Develop and maintain relationships with vendors and contractors, ensuring quality service and support for office needs.

  • Additional Duties: Perform other duties as assigned to support the overall goals of the office and organization.

    Requirements

Qualifications:

  • Education: A Bachelor’s degree in Business Administration or a related field is preferred.

  • Experience: 3-5 years of office management experience, demonstrating a strong understanding of administrative functions.

  • Leadership Skills: Strong organizational and leadership skills to effectively manage a team and office operations.

  • Communication Skills: Excellent verbal and written communication skills to foster positive interactions with staff and stakeholders.

  • Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential for daily tasks.

  • Attention to Detail: A meticulous approach with a focus on accuracy and detail in all work.

  • Multitasking Ability: Capacity to multitask, prioritize effectively, and meet deadlines in a fast-paced environment.

  • Positive Attitude: A proactive mindset and a willingness to embrace new challenges are crucial for success in this role.
