HAKS Marketing Coordinator/Administrative Assistant in Miami, Florida
HAKS is seeking a part-time Marketing Coordinator / Administrative Assistant for the Miami office.
Responsibilities include but are not limited to:
Research for RFP’s and RFQ’s including browsing clients | owner’s websites, internet and other pertinent sources/publications for screening potential opportunities and analyzing for assessing the appropriateness for the company.
Provide daily briefings to Senior Vice President (Regional Leader), and coordinate with appropriate discipline leaders as instructed by the Senior Vice President.
Prepare proposals, qualification statements, corporate brochures, presentation materials and newsletters and coordinate with our other offices for other Marketing activities.
Update registration/qualifications with state and city agencies on procurement websites as needed.
Client interaction on phone, in person, email, and mail correspondence as instructed by the Senior Vice President.
Greet staff and visitors, handle and answer all incoming calls and act as the main contact for building management and various vendors.
Maintain excel spreadsheets, fill out standard forms, fax, file, copy, proofread, and send out mail/Fedex.
Maintain client database and manage calendars.
Schedule and coordinate meetings, and arrange travel.
Maintain office supplies and equipment.
Attend industry/network events as appropriate and assigned by management.
Act in the capacity of Executive Assistant to Senior Vice President (Regional Leader).
Liaison with corporate office for operational activities of branch office.
Effectively manage multiple projects simultaneously.
Bachelor’s degree in Marketing or English.
3 – 5 years of experience with proposal preparation, qualification statements, corporate brochures, presentation materials, and newsletters.
Knowledge of SF254/255 and SF330 forms.
Engineering, architectural or construction industry experience preferred.
Strong interpersonal, organizational, communication and computer skills required.
Excellent work ethics and positive attitude important.
Energetic and motivated self-starter with the ability to work well independently and as a part of a team.
Willingness to accept new responsibilities and assignments and accept direction.
Strong computer skills in MS office required-- including Word, Excel, Power Point and Outlook. Experience using Adobe, Photoshop, InDesign and other graphics programs.
