The department of Psychiatry has an exciting opportunity for a full-time Manager, Programs to work onsite at the UHealth campus. The Manager, Programs oversees and coordinates the day-to-day operations of the assigned University programs in accordance with the institution’s academic and strategic missions. The incumbent operates with the goal of delivering high quality programs to the University faculty and staff and other key stakeholders. Furthermore, the Manager, Programs provides guidance and mentorship to program staff to encourage talent development.

CORE JOB FUNCTIONS

  • Plans, implements, evaluates, and monitors multiple programs.

  • Implements project plans related to the delivery of new and on-going programs.

  • Works with internal stakeholders so that the program runs efficient and effectively.

  • Evaluates and measures the effectiveness of assigned programs.

  • Ensures that operations are managed within authorized budgets.

  • Collects, manages, and reports program data.

  • Develops and cultivates relationships and partnerships with various external entities and organizations to further department functions.

  • Recruits, supervises, evaluates, and disciplines department staff to ensure optimum performance.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.

  • Ensures employees are trained on controls within the function and on University policy and procedures.

CORE QUALIFICATIONS

  • Bachelor’s Degree in relevant field

  • Minimum 4 years of relevant experience

Knowledge, Skills and Attitudes:

  • Knowledge of business and management principles.

  • Ability to direct, manage, implement, and evaluate department operations.

  • Ability to establish department goals, and objectives that support the strategic plan.

  • Ability to effectively plan, delegate and/or supervise the work of others.

  • Ability to lead, motivate, develop, and train others.

Department Specific Functions:

Psychiatry Clerkship

  • Management of Phase 2 medical student clerkship duties and schedules

  • Coordination of students’ meetings and classes

  • Ordering, coordination and proctoring of exams

  • Management of evaluation feedback from students, residents, fellows, and faculty

  • Coordination of clerkship related material as students’ write ups and case-logs

  • Clerkship grades & narratives – collection and calculation of grades and drafting narratives

  • Generating faculty effort reports and submission for medical education administration

  • Management and updating electronic administration platform for the medical students

  • Maintains psychiatry clerkship organization and positive student feedback – goal over 95%

  • Maintains psychiatry clerkship didactics and schedule to ensure attendance

  • Coordination of Phase 3 medical students completing their electives and Advanced Clinical Psychiatry Electives (ACE)

  • Coordination of external/visiting students completing their away-rotation

  • Supports mentorship meetings to yield a high medical student investment in the field of psychiatry and residency match rates

  • Supports the Clerkship Director to ensure the goals of the psychiatry clerkship are met

  • Serves as main point of contact for medical students and is available to assist with inquiries.

  • Performs other duties as assigned.

Graduate Medical Education

  • In coordination with the Program Director(s) & Sr. Manager, ensures smooth flow of planning, organization, and implementation all aspects of the resident/fellow didactic curriculums.

  • Oversees the Sr. Administrative Assistant role in didactic curriculum support.

  • Manages central location for recorded lectures and PPTs for future reference.

  • Schedules lecturers, tracks resident attendance, and ensures all didactic logistics.

  • Creates effective and efficient tracking processes for lecture completion vs cancellation.

  • Manages the reimbursement process for faculty didactic teaching compensation.

  • Maintains and updates didactic spreadsheets and calendars.

  • Ensures the set-up, assignment, and completion of resident/fellow didactic evaluations.

  • Compiles didactic evaluations for faculty reviews, as needed.

  • Organizes and directs didactic planning meetings.

  • Analyzes and recommends changes of didactic activities and procedures for the department/program.
