The University of Miami/UHealth has an exciting opportunity for a Full time Clinical Program Coordinator in the Pathology department in the Medical Campus.

SUMMARY

The Clinical Program Coordinator assists in the development, organization, production and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit. Provides general oversight over daily program operations in support of the University's mission, including the direct supervision of volunteers. Monitors the financial performance of programs to meet departmental goals, and assists with short- and long-range budgetary planning.

CORE JOB FUNCTIONS

  • Supervises, directs, and coordinates, through subordinate supervisors, assignments for program operations.

  • Evaluates office production, revises procedures, and devises new forms to improve efficiency and workflow.

  • Supervises clinical operation and quality assurance procedures. Implements projects and procedures to ensure program performance is exceeding expectations.

  • Triages requests for patient appointments with appropriate staff.

  • Oversees various personnel actions, including but not limited to, hiring, performance appraisals, disciplinary actions, termination, and other related activities.

  • Performs assessment of needs within the organization and develops clinical programs to meet those needs.

  • Maintains required records and reports statistics for administrative, quality assurance, and safety and control purposes.

  • Coordinates the development, implementation, and evaluation of departmental or program area policies and procedures designed to improve operational efficiency.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.

  • Ensures employees are trained on controls within the function and on University policy and procedures.

CORE QUALIFICATIONS

Education:

Bachelor’s degree in relevant field

Experience:

Minimum 3 years of relevant experience

Knowledge, Skills, and Attitudes:

  • Knowledge of business and management principles

  • Ability to establish department goals, and objectives that support the strategic plan.

  • Ability to effectively plan, delegate and/or supervise the work of others.

Department Specific Functions

Assist Director of Business Operations/PCC team as assigned.

Assist Director of Clinical Operations Assist physicians with clinical/administrative support of various pathology divisions

Oversee the Pathology Clinical Coordinators across all departmental divisions Development of best practices for departmental divisions Establishing of procedures to ensure reproducibility of each programMeet with outside vendors as requested.

Counsel and train employees on importance/performance of tasks

Work with pathology IT to create/run reports for review of program performance.

Work with Precision Medicine in establishing and maintaining a Pathology database for Breast patients. Review of Resident performance Obtaining and examining all relevant information to assess validity of complaints from patients, clinical staff, and physicians to determine possible causes, and identify solutions.

Contacting clinical staff on behalf of services either in response to inquires or results Advise cliniciansand/or pathologists of investigation results and any planned adjustments Correcting incomplete or erroneous requisitions as requested.

Keep records of issues and resolution Troubleshooting of EMR/Pathology database Review of results as needed to identify issues Report errors in patient registration, sample accessioning, and grossing of cases. Investigate delays with patient samples for testing Assist billing department with inquires and report billing errors Auditing of cases as required/requested Review HER2 FISH orders for completion of results to reduce TAT.Creation of documents/spreadsheets with step by step instructions for faculty and staff Developed procedure to X-Ray pathology specimens through Radiology department and documenting process through UCHART Develop procedures and policies to improve overall clinical program.
