The Department of Medicine, Division of Infectious Diseases, has an exciting opportunity for a Full-Time Clinical Business Operations Representative to work on the UHealth Campus.

Core Job Summary

The Clinical Business Operations Representative 1 facilitates the prompt resolution of problems related to pre and post care that arise in daily clinical operations. The incumbent performs general administrative and receptionist functions, to include answering incoming calls, efficient management of patients, and the acquisition of necessary patient care and records. The Clinical Business Operations Representative 1 assists patients in a courteous, efficient and professional manner and ensures adherence to divisional and departmental service standards.

Core Responsibilities

  • Use electronic medical system (EPIC) in utilizing to verify patients’ appointments, enter lab results, medical records, referrals and medical notes for fibro scans.

  • Provide clinical support to clinical faculty in daily activities related to 2 faculty members and 2 advanced registered nurse practitioners.

  • Verifies insurance information and informs patient of any inaccuracy. Directs patient to financial assessment if needed.

  • Follows patient appointment guidelines pertaining to overbooking per approval.

  • Cancel and reschedule appointments based on patient and/or doctors’ request. Adjust clinics for doctors on vacations or days off.

  • Make sure all outside medical records are attached to clinic census on day of the appointment.

  • Prepare doctors clinic census at least 7 business days in advance for assigned physicians.

  • Obtains consent for Medical Records Information upon other facilities request for medical records.

  • Fibro scan results are scanned and emailed to all corresponding physicians

Department Specific Functions

  • Greets visitors, clinic patients and all callers, handle patient inquiries, and directs them to the appropriate persons according to their needs.

  • Obtains or reviews all patient demographic information to effectively schedule patient appointments for the Rapid Access Wellness Center in UChart. Skilled or knowledgeable in Epic Electronic medical records to effectively schedule patient appointments for the Rapid Access Wellness Center.

  • Assist in maintaining and updating the Rapid Access Wellness Center Epic schedule.

  • Answers all phone calls, provides information to callers or connects callers to appropriate clinical staff and navigation team.

  • Assists in Patient Assistance enrollment for specialty medications.

  • Contact patients as directed by the physician/providers when necessary. Notify medical providers via email and phone of urgent patient matters and follow up promptly. Utilizes UChart to track daily patient schedule.

  • Advises front desk personnel of patient cancellations and no-show reports to maintain daily schedule.

  • Monitor clinic email and cellphone text message exchanges.

  • Send all patients scheduled appointment reminders daily and prepare a daily schedule for providers on call.

  • Schedule patient follow-up appointments via UChart.

  • Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the Rapid Access Wellness Center. Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.

  • Maintains patient confidentiality as well as the confidentiality of hospital business information. Adheres to University and unit-level policies and procedures and safeguards University assets.

Core Qualifications

  • High school diploma or equivalent

  • Previous experience not required

  • Skill in data entry with minimal errors.

  • Ability to communicate effectively in both oral and written form.

  • Ability to work evenings, nights, and weekends as necessary.

  • Skill in collecting, organizing and analyzing data.

  • Ability to work independently and/or in a collaborative environment.
