The department of Neurology has an exciting opportunity for a Full Time Clinical Business Operations Representative to work at UHealth. The Clinical Business Operations Representative works in conjunction with the Clinical Business Operations Coordinator to facilitate the prompt resolution of problems related to pre and post care that arise in daily clinical operations. The incumbent in this position performs general administrative and receptionist functions, to include answering incoming calls, necessary for the complete and efficient management of patients, including the acquisition of necessary patient-care and records. This role will also assist patients in a courteous, efficient and professional manner and ensure adherence to divisional and departmental service standards. Using the standard greeting and appropriate telephone etiquette, they will answer all incoming telephone lines in a timely fashion adhering to divisional and departmental service standards related to telephone access to ensure that patients, referring physicians, and other customers can easily access the department by telephone. They will also assist patients in manner that promotes the perception that the staff is courteous, efficient and interested in their healthcare and will treat all patients with dignity and professionalism.

  • Answers telephone calls correctly processing all patient information for messages and patient requests. Enters

  • and routes request to appropriate division in-basket or person within UChart

  • Answers telephone calls professionally and courteously within five rings introducing the practice as established protocol using AIDET etiquette.

  • Answers patient’s telephone calls, correctly processing information on ambulatory appointment scheduling or

  • answering questions or solving problems. If necessary, transfers call to an appropriate person or department to

  • assist the patient further

  • Reviews patient demographic information, insurance information and referral numbers for accuracy while having patient on the phone

  • Accurately records all data and maintains necessary records or files for future new patient appointment in BOX, relating to clinical care received via main fax machine, distribution of incoming faxes and mail.

  • Scan outside medical records/documents into UChart to have them ready for patients next follow up appointments.

  • Communicates with patients regarding delays in schedule

  • Respond to medical records inquiries on the in person, via fax, telephone and general medical records e-mail.

  • Proactively works physicians clinical scheduled to maximize time and manage capacity

  • ​ Is responsible for monitoring access to new appointments and management of any waiting lists for appointments.

  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate persons according to their needs.

  • Whether on the phone or in person, treats all patients, co-workers internal customers with dignity and p rofessionalism.

Minimum Qualifications

  • High school diploma or equivalent required

  • Minimum 3 years of relevant experience

Knowledge, Skills and Attitudes:

  • Skill in data entry with minimal errors.

  • Ability to communicate effectively in both oral and written form.

  • Ability to work evenings, nights, and weekends as necessary.

  • Skill in collecting, organizing and analyzing data.

  • Ability to work independently and/or in a collaborative environment.
