Clinical Business Operations Representative 2

The University of Miami/UHealth Department of Neurology has an exciting opportunity for a Full Time Clinical Business Operations Representative 2 to work at the UHealth Medical Campus.

Core Job Summary

The Clinical Business Operations Representative 2 facilitates the prompt resolution of problems related to pre and post care that arise in daily clinical operations. The incumbent performs general administrative and receptionist functions, to include answering incoming calls, efficient management of patients, and the acquisition of necessary patient care and records. The Clinical Business Operations Representative 2 assists patients in a courteous, efficient and professional manner and ensures adherence to divisional and departmental service standards.

Core Responsibilities

  • Assists the department in managing expectations surrounding pre and post patient care.

  • Obtains or reviews all patient demographic information, insurance information and referral numbers.

  • Reviews clinical records for completeness including authorization, signatures, missing data, and other patient information.

  • Answers multiple telephones for the department: triage incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.

  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.

Department Specific Functions

  • Manage and resolve UChart messages.

  • Submit lab order requests to provider.

  • Scan medical documentation into UChart.

  • Process prescription refills.

  • Process authorizations for medications and procedures.

  • Process authorizations for patient having diagnostic testing at an external facility.

  • Process medical supply requests by completing insurance forms and providing medical documentation.

  • Process and mail post visit patient letters.

  • Serve as the liaison between patient and provider.

  • Take care of all patient requests.

Core Qualifications

  • High school diploma or equivalent

  • Minimum 1 year of relevant experience. Experience with preauthorization highly preferred.

Knowledge, Skills, and Attitudes:

  • Strong conflict management and resolution skills.

  • Outstanding interpersonal skills, ability to handle and resolve sensitive human resources issues.

  • Outstanding organizational skills are necessary to manage many competing timetables and responsibilities. Ability to delegate and effectively supervise and plan for the timely and successful completion of short- and long-term objectives.

  • Excellent verbal and written communication skills to communicate effectively with a large and diverse constituency, including administration, division faculty, patients and support staff. Will communicate information in written, electronic, oral and presentation formats.

  • Requires the ability to work independently and to accept responsibility for complex and sensitive decision-making as it relates to the overall flow of the ambulatory practice.

  • Interpersonal relationship skills needed to motivate staff and work with leadership, and physicians in a positive and collegiate fashion.
