Job Description
Job Title: Administrative Assistant
Summary: This is a full-time position based in our Mexico City office with a hybrid model, therefore we will expect to see you in the office 3 times a week.
We are looking for a ‘doer’with an incredible/ positive attitude who is excited to see processes and procedures all the way through from beginning to end:
What you can expect: Overseeing routine and advanced duties for other professionals. Organizing files, creating correspondence, and preparing reports or documents. Managing calendars, sorting mail, and preparing invoices. Handling general office tasks and administrative duties. Providing support for managers and other employees. Making travel and meeting arrangements, preparing reports, and maintaining filing systems.
Front desk service
Purchase Orders (stationery, office supplies etc), vendors and office management activities
Control and administration of vacations and payroll incidents
Office benefits management: Gas & food vouchers PO’s
Physical and digital files control
Travel agencies management and trips coordination with employees across LATAM
“Petty cash” administration and control
Capable of inspiring trust, motivating partners, and team members in a collaborative manner.
Supporting Finance department and administrative activities for Mexico City office
Ensure efficient functioning and documentation for internal administrative processes
Ability to deliver clear, persuasive, and technically sound oral and written communications while being able to explain and communicate things.
Qualifications:
3 to 5 years of related experience in administrative/front desk areas and activities.
Experience working in a fast-paced environment.
Basic English understanding.
MS Office basic skills (Excel, Word, Teams, Power Point)
Required: Dynamic personality, service attitude, proactive, organized
Interest in learning and growing in a multinational organization
Ability to work independently with minimal direction in a fast-paced environment.
Excellent oral and written communication skills are essential.
