BASIC FUNCTION SUMMARY
Must be able to operate common office machines and be familiar with automated word processing and accounting systems. Possess ability to deal courteously with Navy and V2X personnel. Possess knowledge of filing and routing routine correspondence. Demonstrate knowledge of punctuation, spelling, and grammar. Must demonstrate sound mathematical computation ability.
Classify and index file material relating to timekeeping, V2X payroll, work order and accounting system and employee benefit programs in an established filing system containing several varied subject matter files. May keep records of various types in conjunction with the files.
The incumbent is required to perform basic payroll and travel clerical tasks necessary for the smooth operation of the department. Will coordinate with Madison CORP and PMO for travel and payroll requirements involving T-45 personnel. Performs tasks with minimum supervision.
Must be customer oriented.
ESSENTIAL DUTIES AND ACCOUNTABILITIES
Works under the direct supervision of the Business Manager.
Files records, reports, correspondence, travel documentation and other required documentation, for travel.
Research and provide responses to employees’ inquiries concerning hours worked and benefit time.
Provide weekly status reports on overtime hours expended, undistributed labor hours and payroll problems.
Prepare employee change of status reports.
Prepare Travel Expense Estimates for employee Detachments and Rescues.
Performs Travel Expense Billing Audits for preparation of Government Billings.
Perform audit and reconciliation of travel expense reports.
Assists Business Manager with Base Cash Fund.
Assist with billable hour tracking process to include labor corrections.
Operate computer remote terminal. Initiate data entry elements necessary to maintain payroll, travel expense and other related contract accountability requirements.
Conducts employee timecard audits as directed by the Business Manager.
Answers telephones, takes, and delivers messages.
May be required to operate various office machines to include computer, calculator, copier, CRT, and facsimile machine.
Prepares special reports and forms as required.
Complies with all safety requirements and uses mandated safety equipment.
Duties may include exposure to confidential and sensitive matters, disclosure of which may be costly to the company.
Inputs data into computer from travel claims for the purpose of processing travel claims.
Assists the Business Manager in the routine accomplishment of travel expense report tracking.
Prepares travel and payroll data report forms on computer as required by the Business Manager.
Performs other job-related duties as required.
QUALIFICATION STANDARDS
Satisfactory completion of computer data entry courses required or one (1) year of on the job training and/or experience. Must be able to meet any Government/Company licensing/ qualification requirements for the position.
Must have one (1) year experience in data entry.
Must have a minimum of one (1) year experience in clerical/administrative career field.
Proficient in computerized spreadsheet application and word processing.
Analytical ability sufficient to handle non-complex administrative details.
Normal mental/visual application.
Knowledge of grammar, punctuation, and spelling rules.
Requires the ability to operate various office machines used in designated departments.
Must have the ability to deal courteously, efficiently, and effectively with a diverse group of customers and visitors.
PHYSICAL DEMANDS AND ENVIRONMENTAL CONDITIONS
Physical Demands:
This classification activity is usually accomplished in an office like environment and as such requires the scope of physical movements and postures normally associated with office activities. May require lifting of objects whose weight normally will not exceed 30 pounds. Special vision abilities required to perform this job are close vision, peripheral vision, depth perception and the ability to adjust and focus.
Work Environment:
The diversity of work conditions may range from an environment where there is little or no physical discomfort, to an environment that is typical of an office setting. May be required to work in areas where high noise hazards prevail. May be exposed to fumes or airborne particles. May be exposed to electrical shock hazards.
