The Facilities Services & Planning (“FS&P”) division plays a key role in helping Stanford Health Care accomplish this mission. With a fast-paced, tech-savvy and lean culture that focuses on goals, metrics and continuous improvement, FS&P provides non-clinical operational support to Stanford Health Care and other Stanford Medicine entities to ensure safe and successful non-clinical operations 24/7 and plan for the organization’s future facility needs.  All departments within FS&P includes Hospitality, Facilities Infrastructure & Safety, Site Support Services, Security, Transportation & Grounds, Space Planning, Hospital & clinic Activations, Sustainability Program Office, and Business Operations & Strategic Initiatives. The FS&P division is comprised of over 2,000 staff members across 40 cost centers with a total budget of over $350 million.

The Space Planning team influences and supports optimal use of space by providing strategic space, operations & access planning for all departments within the Stanford Health Care enterprise. Space Planning leads the Space Governance structure to make complex decisions, while understanding the implications of master planning efforts and strategic space initiative for the entire portfolio of Stanford Health Care space. The ideal candidate will be a “hands-on” leader with the ability to lead a dynamic, diverse, tech-savvy and agile team, and will be skillful at interacting with the leaders, faculty and staff in a responsive, diplomatic, patient, and collaborative manner, while continuing to understand how to balance the priorities of the various functions of the unit.

Type of Work:

  • Sets vision for and leads department priorities.

  • Partners with Executive Director/ Director(s) in short and long range planning activities that align with the SHC operational plan, incorporate innovation and new technologies and promote the individual needs of each business unit.

  • Manage the Space Governance structure to drive complex decisions forward.

  • Acts in an advisory role to all departments, programs, staff and leaders.

  • Create advanced graphics and simplified storyline development for executive leadership.

  • Leads recruiting, onboarding and hosting of events ensuring adequate staffing levels to support daily operations.

  • Oversees contract administration needs including initiation, vendor performance and financial oversight.

  • Partners with Business Operations and Strategic Initiatives (“BOSI”) & leadership to prepare budgets, monitor FTE variances, track financial outcomes and make recommendations.

  • Implements, oversees and continuously improves systems, processes and standard work to drive the successful management of operations.

  • Facilitates effective communication across the enterprise. Builds, develops and grows business relationships with stakeholders and vendors.

  • Supports professional growth of direct reports through identification of learning needs, designing developmental plans, and facilitating learning opportunities. Coaches, mentors, and motivates direct reports in order to meet business unit program goals.

A Brief Overview

The Manager Project Management is responsible for supervising staff to manage the programming, planning, design, construction, and activation of complex projects. Establishes and maintains tools, processes to prioritize projects, effectively assign staffing resources, and ensure project managers are completing projects within budget and on time.

What you will do

  • Manages project management team for a VP-area/large department in the performance of required job functions.

  • Implements/oversees system monitors and controls to drive the successful management and reporting of projects; ensures that projects are appropriately managed for on-time and on-budget delivery.

  • Manages the selection and prioritization processes for projects to align with organizational strategic goals; assigns resources based on skill and capacity.

  • Ensures timely and consistent communication to sponsors and stakeholders on project status, scope changes, and resource impacts for projects.

  • Teaches Lean concepts including the SOS certification program.

  • Ensures existing processes support high levels of performance while continuously reviewing and refining those processes to make additional improvements.

  • Delegates tasks and responsibilities to appropriate personnel.

  • Implements quality control measures to ensure project compliance with department, hospital, and university policies, government codes and regulations.

  • Determines and assesses need for staffing levels and make the appropriate recruitments if necessary.

  • Guides project managers in assessment and documentation of project scope; to describe objectives, requirements, parameters, and constraints of projects.

Education Qualifications

  • Job requires a Bachelor’s degree in a work-related discipline/field from an accredited college or university. Relevant experience in lieu of degree may be considered. Relevant experience in lieu of degree is in addition to the experience requirements for this position.

Experience Qualifications

  • Eight (8) years of progressively responsible and directly related work experience.

Required Knowledge, Skills and Abilities

  • Six Sigma certification preferred, or equivalent combination of education/experience.

  • Ability to communicate effectively at all organizational levels and in situations requiring instructing, persuading, negotiating, conflict resolution, consulting and advising, as well as flawless written communication.

  • Ability to establish and maintain effective relationships with widely diverse groups, including individuals at all levels both within and outside the organization and gain their cooperation.

  • Ability to manage multiple changing priorities and work effectively in a team or independent setting.

  • Ability to plan, organize, prioritize, work independently and meet deadlines.

  • Ability to provide leadership and influence others.

  • Ability to resolve conflicts and/or negotiate with others to achieve positive results; establish and maintain effective interpersonal relationships.

  • Ability to make effective oral presentations and prepare concise written reports to a variety of audiences.

  • Ability to plan, organize, motivate, mentor, direct, and evaluate the work of others, and meet deadlines.

  • Ability to utilize project management tools and to coach staff/team members on tools.

  • Ability to work effectively as a team player and leader.

  • Ability to budget, make financial projections.

  • Licenses and Certifications:

  • Project Management Professional (PMP).

Base Pay Scale: Generally starting at $66.46 - $88.05 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
