Position Overview:
The Facilities & Operations (F&O) Division at SLAC is dedicated to the stewardship of the laboratory¿s conventional facilities infrastructure. We are seeking a Computerized Maintenance Management System (CMMS) Facilities Support Analyst to provide technical analysis/solutions, database accountability, program support, and administrative assistance to our Facilities Management and Planning (FMP) Unit. FMP provides facilities leadership and customer service for a campus of 150 buildings (1.6 million square feet) and complex utility systems (electrical, mechanical, potable and process water, sewer, and controls systems) supporting accelerator operations and research laboratories in addition to office space and industrial facilities.
Reporting to the Facilities Support Services Manager, the Facilities (CMMS) Support Analyst II will be responsible for ensuring the CMMS system and related tools effectively supports the induction of work requests, assignment of work orders, prioritization of effort, and alignment of work with established service level agreements, service catalog, and budget constraints.
Working closely with Facilities & Operations, this position will provide general CMMS-related support, including training, generating reports, updating CMMS data, and creating dashboards. The Analyst will also offer project and administrative support for other initiatives like Davis Bacon, as well as lead monthly, quarterly, and annual efforts to review and update CMMS data to maintain data integrity.
Additionally, the Analyst will support the development of maintenance programs within the CMMS system, assist with process improvement and documentation, monitor the overall effectiveness of the CMMS and participate in Facility Condition Assessments around site.
Your core responsibilities include:
Provide first line of response for work order (ticketing) development, distribution, execution, resolution.
Assist in solving base line CMMS issue aligned to service desk work order distribution.
Run CMMS reporting information for the lab community, archiving, backing up data, and recovering cost for customer need.
Support audit activities aligned to CMMS data integrity, Davis Bacon, financial inquiry, and create reports of various periodicities.
Ensuring data integrity, securing information, participate in asset inventory activities to assess accuracy, in service, proper asset nomenclature description and asset properties or definitions.
Support the Nuvolo CMMS system Administrator with daily CMMS activity, when needed.
Assist in diagnosing and resolving CMMS end-user problems; respond to escalated issues from clients and other support teams; perform triage, provide problem resolution, and follow up problems to closure.
Assist in providing technical CMMS guidance and training; may guide other staff.
Work on CMMS projects requiring expertise and creativity in analysis and deployment of technology.
Assist in coordinating with Shop Supervisors to develop, organize and schedule workflow for corrective, preventive, and predictive maintenance work.
Utilize the CMMS system to provide KPI reports and metrics to measure system effectiveness.
Monitor, track, review, and analyze open CMMS work orders through completion.
Provide training to new users, develop training materials, create and update existing processes.
Create reports, analyze and interpret large datasets, minimize data sparsity.
Lead continuous efforts on CMMS Data Cleaning, identify discrepancies, address missing values, standardize and validate.
Help conduct a comprehensive evaluation of onsite buildings physical conditions. Document findings and help create Corrective Maintenance related work orders.
Additional Support:
Effectively communicate and coordinate with F&O and Lab customers.
Support the Nuvolo system administrator(s) in researching and recommending any software improvements to meet the needs of customers and ensure compatibility with other SLAC F&O database systems.
Support the Nuvolo system administrator on version upgrades, enhancements, and testing.
As needed, support Facilities Condition Assessments to document known asset deficiencies and induct corrective actions into the CMMS database.
Purchase materials/conduct administrative duties aligned to CMMS activities.
To be successful in this position you will bring:
Two-year college degree and two or more years of related facilities experience or a combination of education and relevant experience.
Ability to provide excellent client service.
Ability to apply analytical techniques for problem troubleshooting.
Knowledge of facility maintenance procedures and systems; understanding of preventive maintenance programs and conducting database support.
Working knowledge of applications such as Excel, Word, PowerPoint, and project management software.
Understanding of work requirements for skilled trades in facilities maintenance, including fleet, carpenters, electrical, instrumentation and controls technicians, mechanical/HVAC utilities, and fire protection systems.
In addition, preferred qualifications include:
- Experience with ServiceNow, Nuvolo, or another CMMS platform is highly recommended.
Certifications and Licenses:
Valid California Non-commercial Class Driver¿s License.

The expected pay range for this position $103,735 - $123,793 per annum. SLAC National Accelerator Laboratory/Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
