Description
The Event Operations Specialist is responsible for planning, organizing, and executing events that support the mission and fundraising goals of a growing nonprofit. This role ensures all event logistics run smoothly, providing exceptional experiences for attendees, sponsors, and partners while maximizing the impact and visibility of the organization.
Plan and coordinate all aspects of events, including researching event sites, managing community outreach programs, and aiding with volunteer events and managing a pool of volunteers for events.
Develop detailed event timelines, budgets, and task lists.
Collaborate with the team to set event goals and objectives aligned with the organization’s mission.
Research and book venues, vendors, and service providers, negotiating contracts and managing relationships.
Oversee event setup, breakdown, and all on-site logistics.
Coordinate audio-visual, catering, and other operational needs.
Ensure compliance with permits, licenses, and safety requirements.
Manage guest registration, including online ticketing platforms and check-in processes.
Work closely with the Development team to incorporate donor and sponsor recognition into events
Support sponsor outreach and ensure their contributions are showcased appropriately.
Build and maintain relationships with key stakeholders, including donors, volunteers, and partners.
Recruit, train, and manage volunteers for events.
Assign tasks and provide clear guidance to ensure successful event execution.
Conduct post-event evaluations to assess success and identify improvement opportunities.
Prepare reports summarizing event outcomes, including financial performance and attendee feedback.
Send thank-you notes to participants, sponsors, and volunteers.
Requirements
Experience:
- 2+ years of event planning or operations experience, preferably in a nonprofit or mission-driven environment.
Education:
- Bachelor’s degree in event management, nonprofit administration, marketing, or a related field, or equivalent experience.
Skills:
Exceptional organizational and project management skills.
Strong interpersonal and communication abilities.
Proficiency with event management tools and software (e.g., Eventbrite, Cvent) and office software (e.g., Excel, Google Workspace).
Ability to work under pressure, meet deadlines, and adapt to changing priorities.
