POSITION DESCRIPTION

Job Title: Administrative Assistant III Department: Public Works Administration Job Code: 241604 Reports To: Public Works Office Manager FLSA Status: Non-Exempt Effective Date: January 2, 2023

POSITION SUMMARY: Performs complex administrative and accounting functions using established procedures in support of Public Works operations. Support cross-functionally across office roles/responsibilities, when needed, using independent judgment in decision-making situations.

? Front face to Rio Blanco County public to answer Public Works questions and direct complaints. ? Utilize a variety of applications/systems to track and manage R&B and/or Fleet inventory, budget and Fleet operations; support monthly, quarterly, and annual financial reporting, invoicing and inventory. Support other Public Works departments, as needed. ? Responsible for the analysis of and data entry of time cards, job costing data, equipment repairs in support of payroll and cost management for the department. Act as primary point of contact for employee accruals and overtime inquiries. ? Perform accounts payable activities including preparation of payment vouchers and ensuring accurate allocation to inventory, equipment, projects, repair orders, etc. ? Assess for suitability and assign transport permits. Manage timely receipt of payments. ? Administrative accounting management of landfill operations including accounts receivable and collections. ? Ensure staff schedules are up to date, including, but not limited to, landfill, on call, and snow plow routes. ? Ensures departmental and county programs and policies are supported and followed.

OTHER DUTIES/RESPONSIBILITIES: ? Back up Office Manager roles and responsibilities, as needed ? Ability to cross-train on assigned activities

JOB QUALIFICATIONS: Knowledge of: ? Microsoft Office applications, particularly Excel, Word, and Powerpoint ? Financial management and Accounts Payable/Accounts Receivable processes ? Strong technical knowledge and ability to work across multiple applications/systems and databases including data entry, tracking, reporting and analysis ? Working experience with cloud applications

Skill in: ? Operation of a computer with standard and specialized software; ability to learn new software quickly ? Excellent oral and written skills ? Strong organization and time management skills

Abilities: ? Team player ? Strong work ethic and personal integrity; ability to maintain confidentiality ? Strong attention to detail and accuracy ? Flexibility in adapting to changing work assignments ? Analytical thinking and problem solving ? Ability to manage and prioritize work assignments independently ? Education and/or Experience: Any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job. ? High school diploma or equivalent; degree preferred ? Minimum of 3 years office experience

Licenses or Certificates: ? Valid Colorado Driver's License.

Work Environment: ? The majority of work is performed in a normal office environment. ? Must be able to occasionally lift 25 lbs
