Dart Bank Wealth Administrative Coordinator in Mason, Michigan
SUMMARY
The Wealth Support Specialist will support our team of Financial Advisors and will be responsible for handling administrative tasks. They will provide exceptional customer service, and ensure the smooth operation of the office, acting as a liaison between Dart Bank Wealth and Cambridge Investment Research Inc. This role requires excellent organizational skills, strong communication abilities, and a proactive approach to managing tasks.
Job Overview and Responsibilities:
1. Client Communication: Communicate professionally with clients via phone, email, and in- person meetings, scheduling appointments, and managing calendars for Financial Advisors.
2. Document Management: Assist in preparing and organizing client files within the Cambridge system, investment purchase documentation, reports for client reviews, and presentations.
3. Administrative Support: Handle day-to-day administrative tasks such as managing correspondence, following through with service requests, check requests and workflows via the CRM system.
4. Data Entry and Reporting: Input client data into CRM systems accurately and generate account opening and sales documentation, along with identifying and tracking opportunities and documenting meetings.
5. Meeting Coordination: Arrange meetings and conference calls/Teams meetings, including scheduling, preparing agendas, and coordinating logistics.
6. Client Support: Provide excellent customer service to clients by answering inquiries and resolving issues promptly. Including check requests, RMDs and change of beneficiaries or address.
7. Marketing Assistance: Help with the planning and implementation of marketing activities both within Dart Bank and its divisions and to external potential customers.
8. Compliance and Regulation: Ensure compliance with all industry regulations and internal policies in handling client information, checks received, certificates received and documenting the delivery of disclosures/prospectuses/private placement memorandums.
9. Adheres to all Federal and State laws and regulations, including the Bank Secrecy Act.
Qualifications:
• Proven experience as an Administrative Assistant, Executive Assistant, or similar role, preferably in a financial services environment.
• Knowledge of financial products, investment terminology, and understanding of financial markets is preferred.
• Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and familiarity with CRM software.
• Excellent organizational and time management skills with the ability to prioritize tasks.
• Strong attention to detail and problem-solving skills.
• Exceptional communication skills, both verbal and written.
• Ability to handle confidential information professionally.
• A proactive approach to work and ability to work effectively in a team environment -- both in office and remotely
