Eastern Connecticut Health Network Medical Education Coordinator in Manchester, Connecticut
POSITION SUMMARY:
Provides professional high-level administrative support to the Department of Academic Affairs. Responsible for coordinating the undergraduate medical student and physician assistant student programs. Acts as liaison between site directors, preceptors, medical students, physician assistant students, and various clinical departments.
This position utilizes professional communication and interpersonal skills to establish and maintain cooperative relationships with physicians, students, residents, allied health professionals, and hospital staff. Provides cross-coverage for other staff within the department. This position requires to travel to the facilities within the organization and to events within the state.
EDUCATION/CERTIFICATION:
Associate’s Degree required.
Bachelor’s Degree preferred in Business Management, Communications, Education, or related field.
Must possess and maintain a valid driver’s license and an acceptable driving record in accordance with organizational policy.
EXPERIENCE:
Two to five (2 to 5) years’ experience in coordinating a student training program, or a program requiring similar skills, preferred.
Knowledge of accreditation standards pertinent to the student programs.
Ability to function well independently and within a team.
Intermediate knowledge and experience of set-up and troubleshooting of audiovisual and teleconferencing equipment. Intermediate skills in negotiating student agreements, preferred.

Flexible schedule required to attend events/meetings in the early morning or in the evening, as well as travel to school campuses for multiple day events.

ESSENTIAL DUTIES and RESPONSIBILITIES:

Administrative Duties and Responsibilities:
Screens, refers, and intercedes as appropriate, incoming calls/visitors to the department to facilitate accurate and efficient departmental communication.
Schedules appointments, meetings, and interviews. Orders office supplies. Assists in gathering content for departmental website and marketing materials.
Assist in preparing documents for accreditation surveys. Type correspondence, letters, minutes, policies and procedures, newsletters, etc.
Assist in preparing/collecting documents for student/resident onboarding and orientation. Provide support when planning department events and/or meeting set ups.
Collect and track evaluations. Attend meetings, prepare agendas, provide minutes, and maintain didactic materials in a professional and timely manner.
Generate and track all supporting documents needed for agreements, including drafting agreements as needed. Performs other duties, as assigned to promote the efficient functioning of Academic Affairs.
Academic Affairs Duties and Responsibilities:
Coordinate medical students, PA students and advanced practitioners: Student credentialing and on-boarding processes. Student schedules.
Monitor, track and document evaluation forms.
Orientation: Distribution of Site Director and Preceptor Timesheets and processing of payment. Elective Student Coordinator: various local medical schools and physician assistant schools: Student credentialing and on-boarding processes. Student Schedules.
Develop, coordinate, and run annually: Student Orientation as needed. Coordinate and attend quarterly site director meetings, prepare agenda, draft meeting minutes, and provide follow-up in a professional and timely manner. Facilitate communication between students, hospital departments and medical staff.
Draft and maintain necessary policies, procedures, and documents to meet university and hospital standards. Attend student programs and provide assistance to the Academic Affairs program director.
Provide cross-coverage functions as needed. Provide and help maintain student information on medical education websites. Serve as the Undergraduate Medical education Program representative.
Perform other duties as assigned by the Administrative Director of Academic Affairs.
