Position Summary
We are seeking an experienced and highly skilled Administrative Assistant to support four executive team members. As the Administrative Assistant you will be handling a variety of tasks ranging from scheduling and correspondence to expense reporting and event coordination. This role is critical to ensuring the smooth daily operations of our executive team. The ideal candidate will be an exceptional communicator, detail-oriented, adaptable, tech-savvy and thrive in a fast-paced environment.

Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
Calm under pressure, with the ability to adapt to shifting priorities
Self-starter with the ability to work under minimal guidance and direction
Excellent interpersonal skills and ability to work effectively with a diverse group of internal and external clients, executives, and staff
Education/Experience:
Associate’s degree or equivalent experience
3+ years of experience supporting senior/executive leaders
Strong written and verbal communication skills
Strong organizational skills and attention to detail
Expert proficiency with Microsoft Office suite (especially PowerPoint) and other relevant software applications, with the ability to quickly adapt to new technologies
Essential Duties:
Plan and execute a variety of administrative support functions for senior leadership
Interface with internal and external contacts on a day-to-day basis
Assist with emails and maintain and manage highly active calendars
Schedule internal and external meetings including coordinating calendars across leaders, meeting locations, video conference needs and related details
Prepare agendas, record, compile, transcribe, and distribute minutes of meetings
Coordinate travel arrangements
Complete expense reports
Screen correspondence and respond independently, as appropriate
Plan and organize site meeting and events
Prepare conference rooms, manage catering orders
Prepare and manage presentations, documents and spreadsheets
Prepare and execute requests for technology needs, supplies
Assist with onboarding processes for new employees
