Grade 7E (Salary)Position Description:The Faculty Affairs Manager, under supervision of the Health Science Center (HSC) Faculty Affairs Director, is responsible for various duties in support of the School of Medicine leadership team consisting of the Dean, Vice Dean for Faculty Affairs, department chairs and executive administrators. This position plays a vital role overseeing the flow of all data related to the faculty career cycle. This position manages the collecting, organizing, tracking, and circulating of information supporting faculty employment actions. This role requires innovative thinking, collaboration with department stakeholders, and effective communication to ensure smooth operations and high-level service delivery. With support from the HSC Faculty Affairs Director, this position will manage office communications and trainings to departments regarding office processes. This position will supervise the Faculty Affairs Database Analyst, manage continuous improvement strategies, and foster strong business relationships with internal and external stakeholders. Working in collaboration with the Director, this individual will also take a lead in creating strategic initiatives in maintaining efficient processes and data organization within the office. As an Interfolio Administrator for the School of Medicine they are responsible for managing the program system and workflows for entry of faculty actions. This will include creating, configuring, and maintaining Interfolio workflows for 23 departments. This managerial position within the School of Medicine operations is crucial for driving efficient processes and organized databases. Reporting directly to the Director of HSC Faculty Affairs, the manager will lead the development and implementation of long-term goals, strategies, and policies. Additionally, they will provide high-profile consulting for university leadership, serve as a resource for interpreting and applying faculty-related policies and guidelines.Essential Duties and Responsibilities Collaborate with the Director of HSC Faculty Affairs to identify the need for new or revised policies, processes, and procedures, ensuring stakeholder input.Lead strategic initiatives for operational improvement, overseeing the development and implementation of School of Medicine processes and standard operating procedures.Coordinate with school administrators to implement mandated programs and activities, providing support and guidance as necessary.Owner of website content development as the lead content creator providing content related to training materials facilitating the understanding of faculty development processes, programs, and faculty recognition.Develop and conduct workshops and training sessions to manage faculty affairs program implementation and ongoing knowledge transfer for School of Medicine staff development.Deliver clear and strategic communication on policy and operational matters related to faculty affairs.Manage the Faculty Affairs Database Analyst, ensuring reliable data system builds and workflows providing guidance and support as needed.Manage high-level administrator appointment processes across the School of Medicine.Overseeing database integrity by ensuring accurate data entry, preparing source files for digital formats optimized for seamless integration and accessibility within our systems, and managing the data auditing process to ensure data accuracy across various databases, certifying the reliability of comprehensive reports for leadership and accreditation bodies.
