University of Louisville Department Coordinator V (Assignments and Billing) in Louisville, Kentucky

Minimum Requirements:Bachelor's degree in a related field and two (2) years of relevant experience or an equivalent combination of education and experience. Grade 5N HourlyPosition Description:There are two positions available. The primary function of the Department Coordinator V (Assignments and Billing) position is to deliver excellent customer service to current and future residential students in UHRE (University Housing and the Resident Experience). This position includes researching policies and procedures, analyzing data and initiating change to improve efficiency and accuracy. The position will assign students , troubleshoot issues, and identify and develop communications to student residents. Position will provide regular and ad hoc reports to department staff, and meet regularly with other offices/departments across the university to discuss issues. Essential Duties and ResponsibilitiesPlan, manage and facilitate year-round student assignments to ensure diversification including special circumstances.Provide exceptional customer support to students and parentsIdentify, develop and lead efforts to improve communications Accurately create and maintain electronic filesRun statistical reports regularly to assess current space availability, new applicant numbers, gender counts, etc.Complete Billing AuditsCreate and reconcile ad hoc reportsKeep accurate and historical occupancy statistics to help analyze trends and year to date comparisonsInterpret and explain relevant billing and assignment issues to the end user of the dataWork closely with Operations Team to audit and troubleshoot student accounts related to housing.Analyze systems, policies, and procedures and initiate change to improve departmental efficiency and accuracyTrain staff on assignments procedures. This includes semesterly training for the Resident Experience staff Consult on assignments related eventsSelect, train, supervise, evaluate and terminate student employees when necessary .Ensure that student staff are properly training including creating, updating or modifying training documents, manuals etc. as necessaryDirect liaison with university departments impacted by assignments.Build close relationships with university departmentsEnsure all ADA accommodations, ESA accommodations, etc.Contribute professionally to the administrative team, housing, living learning communities, and Student AffairsAttend student recruitment events locally and regionally.Attend professional development opportunities to increase knowledge regarding RMS, assignments, etc.Train staff on assignments procedures.
