The Semel Institute's Educations Office is seeking to hire a full time Program Assistant to help with the operations of the following programs: Academic Trainee Office, Psychology Programs, and Medical Clerkship. This is an opportunity to support UCLA

Duties in this role include:

  • General Administrative Support.

  • Assistant with website maintenance.

  • Assist the Psychology Programs Coordinator.

  • Serve as a back-up during Internship Recruitment season.

  • Assist with application processing, interviewer schedule availabilities, open houses, and faculty selection committee meetings.

  • Assist with purchasing and reimbursements.

  • Assist with notations and database maintenance.

  • Coordinate with practicum and legal to create and maintain up to date Affiliation Agreements

  • Organize onboarding of practicum students.

  • Assist Executive Coordinator with Resnick clerkship Rotation and ensure DGSOM clerkship learning objectives are fulfilled.

  • Prepare welcome emails and end of rotation emails for all 4th year electives

  • Manage all medical student evaluations.

  • Review visiting fourth year medical student applications on Visiting Student Application Service (VSAS) with faculty course chairs to determine eligibility of student to be accepted into an elective course

  • Assist the ATO Coordinator in trainee administration.

  • Send and follow up appointment summary and termination emails to trainees.

  • Work with coordinator to manage data and monitor trainee reappointments track visa cases.

  • Monitor and track all incoming requests Leaves of Absences, New Appointments and new Visas Cases.

  • Assist in entry of visa cases in DGSOM VITS.

  • Assist in collection of documents applicable to trainees.

  • Other task as needed.

Qualifications

  • Interpersonal skills sufficient to interact appropriately and effectively with faculty, staff and trainees.

  • Skills establishing priorities that accurately reflect the relative importance of job responsibilities to meet deadlines.

  • Computer knowledge including but not limited to, creating documents in word, spreadsheets, Internet and database applications, sufficient to produce reports and correspondence, and to oversee web-site maintenance

  • Skills needed to work independently within a collaborative team environment and following through on assignments with minimal direction.

  • Strong organizational skills

  • Demonstrated ability to work with sensitive and confidential information.

  • Demonstrated ability to learn and/or adapt to new systems.

  • Ability to write clearly and effectively.
