THE OPPORTUNITY

Responsible for supporting the CEO & President of the bank. This role will perform a range of executive level and confidential administrative functions requiring broad and comprehensive experience, skill, and knowledge of the organizational policies and procedures. In addition; this person will be responsible for maintaining files, managing general executive correspondence, and facilitating the day-to-day needs of the executive office. Performs all duties in accordance with the Company’s policies and procedures, all U.S. state and federal laws and regulations, wherein the Company operates.

HOW YOU’LL MAKE A DIFFERENCE

  • Manages executive's calendars, coordinates and arranges large and/or recurring meetings, luncheons, conferences, and seminars.

  • Receives and greets incoming visitors in a professional manner.

  • Develops strong working relationships and superior communication skills with all levels of the organization particularly the executive team.

  • Gathers and coordinates data for executive team and executive committee meetings; prepares agendas; organizes special meetings and events; maintains attendance records; and prepares and distributes meeting minutes.

  • Assumes responsibility for special projects; gathers data and prepares reports for the Board of Directors and other members of senior management, audits, and other personnel.

  • Screens incoming calls, correspondence, and responds independently and through use of our judgment when permissible and as empowered by executive supervisors.

  • Prepares agendas, notices, and minutes for corporate meetings.

  • Composes and prepares confidential correspondence, reports, and other complex documents.

  • Responds to routine external correspondence pertaining to the executive office. Type’s memos, purchase requisitions, issue payment requests, and complete other department forms and documents.

  • Creates and maintains database and spreadsheet files.

  • Arranges complex and detailed travel plans and itineraries. Compiles documents for travel-related meetings.

  • Prepares expense reports.

  • Greets and screens in-person customers and visitors. Maintains knowledge of functional areas to determine which individual(s) may be handled by subordinate officers and staff.

  • Answers incoming phone calls, emails, distributes mail, and operates copy/fax machine as necessary.

The employee shall comply with occupational safety and health standards and all rules, regulations and orders issued pursuant to the OSHA Act of 1970, which are applicable to one’s own actions and conduct.

  • Performs other duties and projects as assigned.

WHAT YOU’LL BRING

  • High School Diploma and a minimum of 7 years’ supporting an executive level administered.

  • Associate degree in an administrative assistant or related field and two years of progressive experience in an administrative office setting.

  • Bachelor’s Degree preferred but not required.

  • Effective organizational and time management skills.

  • Requires ability to organize and coordinate multiple projects.

  • Strong Microsoft Word, Excel, and PowerPoint abilities.

  • Intermediate typing skills to meet production needs of the position.

  • Exceptional oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees.

  • Ability to complete routine forms, use existing form letters, and/or conduct routine oral communication.

  • Ability to communicate with individuals utilizing a telephone; requires ability to hear and speak effectively on the telephone.

  • Ability to work with general supervision while performing duties.

SALARY RANGE

The base salary ultimately offered is determined through a review of education, industry experience, training, knowledge, skills, abilities of the applicant in alignment with market data and other factors.
