Robert Half Executive Assistant in Los Angeles, California

Description

Our client, a well-known entertainment agency, is looking for an Executive Assistant to support a C-level executive. This role involves managing the office for a busy executive, liaising with a variety of individuals, and handling a high volume of administrative tasks. This position requires you to work on site daily.

Responsibilities:

• Manage a high-volume calendar, ensuring efficiency and balance in daily, weekly, and monthly schedules.

• Prepare and manage follow-up files and 'To-Do' lists, determining which items can be handled directly.

• Liaise with multiple external legal counsels on active litigation cases, subpoenas, and contracts.

• E-file a high volume of documents and send documents for e-sign as requested.

• Access and run reports on various corporate databases.

• Organize and update hard copy files, ensuring all relevant documents are easily accessible.

• Handle internal and external requests for time, utilizing strong judgment in prioritization and flexibility to meet scheduling changes and shifting priorities.

• Anticipate needs, problem-solve for challenges, and manage emerging issues in a proactive manner.

• Coordinate logistics for large meetings, lunches, and team meetings.

• Assist with creating presentation materials and resources.

• Complete monthly expense reports and other administrative tasks.

Requirements • Proficient in Cisco Webex Meetings for organizing virtual meetings and webinars

• Experienced in using Concur for travel and expense management

• Proficient in Customer Relationship Management (CRM) software to manage customer interactions

• Familiarity with Kronos Timekeeping System for workforce management

• Experienced in using About Time for mobile time and attendance tracking

• Skilled in Calendar Management to organize and schedule appointments

• Strong written and verbal Communication skills

• Ability to manage Conference Calls efficiently

• Skilled in drafting professional Correspondence

• Ability to Book Travel Arrangements effectively

• Expertise in Manage Calendar to ensure smooth workflow and prevent overlaps.
