Robert Half Dental Administrative Assistant in Los Angeles, California

Description

We are seeking a Dental Office Administrative Assistant, ideally someone who has prior dental or health administration experience. This job role involves assisting the Dental Director by facilitating various administrative tasks. The candidate will be equipped with training for the role by our current Dental Manager and will have ample opportunity to interact with other staff and patients. This might be an excellent opportunity for candidates to potentially transition into a permanent role as a Dental Manager.

Key job duties include but are not limited to:

  • Preparing and updating the monthly staff calendar.

  • Receiving staff call-out messages in conjunction with dental site supervisors and communicating them to the staff.

  • Prepping for monthly staff meetings, including room reservations, meeting invitations, arranging food, and coordinating speakers.

  • Preparing dentist's lab expense reports.

  • Approving payments.

  • Checking and approving timecards and vacation requests for dental assistants without a supervisor.

  • Scheduling patients for denture procedures.

  • Managing scheduling for dental implant consultations and surgeries.

  • Checking monthly for any unpaid invoices from Henry Schein and Invisalign.

  • Executing the quarterly patient reward program.

  • Submitting incentive data for Dental assistants and Dental Service Technicians.

  • Approving timecards for Dental Assistants without a supervisor.

  • Facilitating responses through the MyChart Dental Pool.

Candidates with a background in dental or healthcare administration will be prioritized. Experience in handling expense reports and MyChart is beneficial. The candidate should possess excellent coordination skills as the job entails scheduling meetings and appointments for various team members and external programs. The role demands the candidate to step in for about 3-4 months until a new Dental Manager is appointed.

Requirements

  • Prior office/dental administration experience.

  • Familiarity with scheduling tools and expense report handling.

  • Knowledge of MyChart is an added advantage.
