THE OPPORTUNITY

The Administrative Specialist supporting our Sales Engineering team will be responsible for providing administrative and clerical support, primarily focusing on customer support team activities. This role requires splitting time between the Loaner and RMA teams and assisting other administrative staff with the tasks outlined below. Additionally, the specialist will help manage our training courses, coordinating daily with customers and internal teams.

This position is on a hybrid schedule; a minimum of 3 days onsite per week is expected. On-site days are Mondays, Wednesdays, and Thursdays. The location for this role is Silvus Technologies’ HQ in the heart of vibrant West Los Angeles.

ROLE AND RESPONSIBILITIES

  • Manage scheduling of loan inventory via specialized software systems including Excel and CRM tools.

  • Coordinate on-time shipping and return of our loaned products.

  • Manage and improve upon loan and RMA process.

  • Generate metrics reports for loans and RMAs.

  • Create automated workflows to increase efficiency.

  • Coordinate return of products for repair.

  • Review and coordinate customer account setup and related paperwork.

  • Generate quotes and sales orders.

  • Manage the processing of orders by coordinating with customers, internal teams, and third-party vendors.

  • Assist in administrative tasks and event coordination related to our Training Courses.

  • Perform other related duties as necessary.

REQUIRED QUALIFICATIONS

  • Minimum High School Diploma or GED.

  • At least 2 years of experience in Customer Service.

  • 1 year of experience in Administrative Coordination.

  • Effective communication skills, both verbal and written.

  • Effectively handles tasks and projects independently, requiring minimal direction.

  • Proficient internet skills, including email, group messaging, and digital data collection.

  • Proficient with Microsoft Excel or Google Sheets.

  • Strong attention to detail.

  • Familiarity with CRM systems (e.g., Zoho, Salesforce, etc.).

PREFERRED KNOWLEDGE SKILLS AND ABILITIES

  • Bachelor’s degree preferred.

  • Proactive approach to problem solving.

  • Ability to accurately follow directions and reasonably improvise in grey areas.

  • Comfortability working in a fast-paced environment.

  • Demonstrated interest in learning about highly technical products and new software systems.3

WORKING CONDITIONS & PHYSICAL REQUIREMENTS

  • Indoor air-conditioned facility

  • Some outdoor fieldwork.

  • Ability to lift up to 20 lbs.

COMPENSATION

The pay range is NOT a guarantee. It is based on market research and peer data, and will vary depending on the candidate’s experience and qualifications.

CA Pay Range

$25—$28 USD
