UCLA Health Administrative Assistant III - Tarjan Center in Los Angeles, California
Description
The Semel Institute's Tarjan Center is seeking to hire a full time Administrative Assistant III to provide administrative and financial support for the programs at the UCLA Tarjan Center and the UCLA PEERS Clinic. Under the direction of the Director of the Tarjan Center, and direct supervision of the Director of Operations, you will assist with administrative task like:
Center meeting planning
Coordination of events
Management of Director's calendar such as scheduling her appointments, clinics, and training seminars.
You will also support center and clinic staff with:
Hiring and general staffing support for faculty, staff, and trainees.
Purchasing of all center and clinic supplies, materials and equipment, process invoices, arrange travel for conferences and trainings,
Process travel reimbursements for all Tarjan and PEERS faculty and staff.
Ensure the smooth flow and operations of reimbursements and invoices from start to payment for all vendors and Tarjan and PEERS faculty.
Arrangement of all facilities requests and work with Semel IT for all computer related issues.
Pay Range:Qualifications
Education/and or experience equivalent to a bachelor's degree in a related field.
Three years administrative experience.
Demonstrate strong skills in using Excel for Windows to create financial worksheets, prepare reports.
Demonstrate strong skills in using Microsoft Office include Word and PowerPoint.
Strong analytical and organizational skills.
Strong communication and interpersonal skills to develop and maintain cooperative working relationship with OES, staff, faculty, vendors and other campus departments, and off campus collaborators.
Effective oral and written communication skills necessary to make inquiries and convey information on behalf of the Tarjan Center and PEERS Clinic.
Ability to work independently.
Skill in prioritizing assignments to complete work in a timely and accurate manner, keep track of ongoing project deadlines.
Ability to establish and maintain complex administrative files.
Ability to work with detail and review a large volume of work rapidly and accurately in an environment of changing priorities, frequent interruptions.
Ability to maintain records to ensure accurate spending within budget categories on existing contracts and grants.
Ability to work flexible hours as indicated by immediacy of task of needs of the program.
Ability to interpret, analyze and evaluate financial information.
Demonstrate strong skills in using Excel to create financial and maintain worksheets and prepare reports for PI.
