Reports to the Director of Clinical Engineering. Responsible for assisting the management of department with requisitioning outside vendor purchased services, renewals of service agreements, supplies/parts and verification of related invoices as well as providing receptionist support. Duties include clerical and administrative support tasks receptionist responsibilities in the front office, including but not limited to purchasing (EMPAC requisitioning), bookkeeping, record keeping, data entry generating reports, photocopy, filing and mail/distribution of document/reports. Answers departmental main telephone line. Retrieves messages from the corresponding voicemail box and properly routes the messages. Completes departmental recharges for technical, material and invoices. Prepares and submits departmental workload reports. Responsibilities include other related tasks as required.

Salary Range: $25.60 - $36.33 / hour

Qualifications

  • Minimum 4 years experience of administrative support and or clerical experience.

  • Working knowledge and excellent skills in maintaining accurate and organized hard copy as well as electronic filing systems.

  • Skills in performing accurate record keeping of department expenditures and transactions.

  • Demonstrated skills in computer literacy with emphasis on accurate data entry and spreadsheets/logs.

  • Working knowledge and demonstrated skills in utilization of Microsoft Office application with emphasis on Word, Excel and PowerPoint.

  • Skills in organizing work flow and prioritizing tasks to complete assignments in a timely manner.

  • Demonstrated excellent communications, interpersonal, customer and organizational skills.

  • Knowledge and skills in writing and preparing correspondence utilizing correct grammar, punctuation and spelling.

  • Ability to operate office equipment including copier, scanner, labeler, fax machine, calculator, PC, printer and telephone.

  • Skills in organizing and maintaining computer files.

  • Skills in maintaining a neat and organized work area.

  • Knowledge of proper telephone etiquette and message routing procedures.

  • Knowledge of voicemail operation including retrieval and deletion of messages.

  • Working knowledge of the Medical Center's and the University's policies and procedures specific to Hospital accounting, purchasing and equipment inventory management.
