Los Alamos National Laboratory Professional Staff Assistant 2/3 in Los Alamos, New Mexico

What You Will Do

The Associate Laboratory Directorate for Chemical, Earth, and Environmental Science (ALDCELS) is looking for an experienced and highly motivated Professional Staff Assistant (PSA) to provide executive-level administrative support to the Associate Laboratory Director and the ALDCELS office. This position requires strong customer service skills, a high degree of professionalism and self-motivation in assuming responsibility and accountability for deadlines and commitments. The selected candidate must be able to work cooperatively in a dynamic and diverse office environment while maintaining a positive attitude and professional work atmosphere. Must be able to work independently and establish priorities for work completion according to deadlines, commitments, and schedules. This individual will work closely with other professional and administrative staff, Staff Operations Manager, Chief Operating Officer, and Associate Laboratory Director.

Professional Staff Assistant 3

In addition to what was outlined at the lower level, the Professional Staff Assistant 3 (PSA3) may be called upon to support special projects, capability reviews, and initiatives as needed while providing advanced level of support to our executive management team. Responsibilities include supporting the management team in the areas of project planning, human resources, procurement, staffing, quality, property management, facility interface, resolving financial issues critical to effective group management, supervising and leading administrative teams, and solving other problems of advanced complexity. The PSA3 will also assign workloads and delegate tasks to the ALD administrative team, manages the student program, and participates in safety meetings to gather, analyze, and prepare data for the ALD.

This position will be filled at either the Professional Staff Assistant 2 or 3 level, depending on the skills of the selected candidate. Additional job responsibilities (outlined below) will be assigned if the candidate is hired at the higher level.

What You Need

Minimum Job Requirements:

  • Extensive experience in complex calendar management, meeting scheduling, and logistics.

  • Experience providing high level administrative support in a busy office environment, including interfacing with all levels of personnel, and providing excelling customer service.

  • Extensive experience in supporting standard office functions such as scheduling travel, tracking incoming/outgoing items.

  • Knowledge of and experience with standard software, e.g. MS Office.

  • Experience supporting senior management in document preparation and processing.

  • Excellent interpersonal, verbal, and written communication skills including customer service with interacting effectively with all levels of internal and external personnel including networking with multiple organizations in areas outside area of professional expertise.

  • Experience to effectively manage conflicting/tight deadlines while maintaining flexibility and adaptability in the daily operation of a high-pressure office.

  • Experience working with sensitive, personnel-related information.

In addition to the requirements outlined above, qualification at the higher level requires:

  • Proven experience as an executive assistant or in a similar administrative role.

  • Ability to exercise sound judgement in the resolution of complex issues.

  • Expert level ability to organize, prioritize, and follow through with completion of multiple tasks with strict deadlines, frequent interruptions, and changing priorities in a dynamic and fluid working environment.

  • Exemplary planning and time management skills.

  • Demonstrated experience screening and dispositioning executive's email, including tracking of their deliverables.

  • Demonstrated success developing and implementing process improvements of a sizeable scale.

  • Demonstrated mentoring skills.

Education/Experience at lower level: Position requires a bachelor's degree and 5 years of related experience, or an equivalent combination of education and experience directly related to the occupation.

Education/Experience at higher level: Position requires a bachelor's degree and 8 years of related experience, or an equivalent combination of education and experience directly related to the occupation.

Desired Qualifications:

  • Active DOE Q Clearance

  • Knowledge and understanding of Laboratory's organizational structure and policies, practices, and procedures.

  • Advanced hands-on working knowledge and experience with LANL standard applications and systems, including Oracle Time and Effort, Ariba, Concur (Foreign and Domestic), Utrain, , AccessIT, and RASSTI.

Work Schedule: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
