Los Alamos National Laboratory Professional Staff Assistant 2 in Los Alamos, New Mexico

What You Will Do

We are seeking a highly motivated, customer service focused, and highly experienced individual to provide professional staff assistance. The Professional Staff Assistant (PSA) will support one of the groups within the Actinide Material Power Processing (AMPP) Division. You will interact daily with the Group Leader, First Line Managers, and the Administrative Assistant in the organization. There will also be frequent interactions with the Division Office Staff Operations Manager and the Division Office Professional Staff Assistant.

You will be responsible for providing advanced-level support to the management team in the areas of administration, finance, HR, communications, and project management. The person in this position, in conjunction with the SOM, line managers, and the AMPP Division support staff, will be responsible for the professional development of the Group administrative staff. You will maintain a professional office atmosphere and assume responsibility with minimal supervision, demonstrating accuracy and attention to detail, initiative, versatility, tact, and confidentiality in all matters.

You must be a motivated performer capable of quickly changing focus, acting independently, working as a team with others and be comfortable with a broadly defined scope of work by self-managing productivity to meet deliverables with quick turnaround deadlines. Work is conducted in a busy, fast-paced team environment that requires close cooperation, adaptability, taking initiative in completing tasks, and a willingness to provide support where needed. What You Need

Minimum Job Requirements:

Expertise: Knowledge of and experience in at least three of the following specialized areas: human resources, financial management, project management, office management, or policy implementation. Demonstrated experience independently responding to requests (often with short response time) by doing research and providing accurate information as required.

Human Resources Processes: Leading hiring efforts for the group through close collaboration with the HR generalist; working knowledge of recruiting, developing staffing plans, and reporting Employee Relations issues to HR.

Financial Management: Knowledge of financial analysis, developing forecasts, monitoring progress against milestones and an understanding of either the Laboratory, Directorate, Division, or a Group's funding portfolio.

Programmatic Support: Experience tracking and reporting organizational programmatic and personnel data points. Experience working with policies and procedures by analyzing, interpreting, and applying the requirements within the group and making recommendations to management based on policy interpretation.

Business Operations: Demonstrated knowledge in managing business operations, researching and investigating alternatives, and recommending solutions on problems affecting business. Ability to independently interpret data and information and report out the results. Excellent oral and written communication skills as evidenced by independent authoring of written correspondence, documents, reports, forms and routine oral presentations, demonstrated strong interpersonal skills, and a record of dealing effectively with conflicts. Experience with safeguarding sensitive information.

Personal Leadership: Demonstrated ability to organize, prioritize, and take initiative and ownership of multiple and conflicting complex issues while working with limited oversite. Ability to take the initiative in making business decisions, within defined boundaries, and exhibit ability to self-initiate tasks in anticipation of the group's and Group leader's business deliverables. Proven success working independently and as a contributing member of a team with willingness to provide support wherever needed in a fast pasted, customer service-oriented office with the ability to follow through with the completion of tasks, under strict deadlines and changing priorities.

Communication: Demonstrated knowledge to conceptualize and communicate information to group and division personnel. Experience providing excellent customer service and interactions with all levels of internal and external personnel. Independent writing experience with grammatical proficiency, formatting, and editing capabilities is expected at this level. Utilization of tact, diplomacy and discretion in dealing with sensitive and in-confidence information and a record of dealing effectively with conflict.

Education/Experience: Position requires a bachelor's degree and 5 years related experience; or an equivalent combination of education and experience directly related to the occupation.

Position commitment: The position commitment for this position is 1 year. Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader.

Desired Qualifications:

  • Proficiency in multiple laboratory-wide business systems (e.g., Oracle, Time and Labor, Concur, and iProcurement) and computer software applications (e.g., Microsoft Word, Excel, Outlook, PowerPoint, Visio).

  • Knowledge of Laboratory structure, administrative policies and procedures

  • Active DOE Q Clearance

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
