Los Alamos National Laboratory Adminitrative Assistant 3/4 in Los Alamos, New Mexico

What You Will Do

Come join our team! We are looking for an Administrative Assistant to support the Nuclear Material Control and Accountability (NMCA) group. NMCA is a growing organization that is responsible for detection and deterrence of theft and diversion of accountable nuclear material.

Are you enthusiastic, motivated, results-oriented professional who will provide business, operational, and programmatic support? As an Administrative Assistant you will interact on a wide variety of generalized office-related activities and will be responsible for disseminating information to division-level support staff about policies and procedures. You will assist in the development of operational process improvements to increase efficiency and rigor in NMCA. In addition, you will provide administrative support to the NMCA Leadership Team. You will report directly to the Professional Staff Assistant and Group Leader.

  • Manage calendars for the group leadership and conference rooms as requested.

  • Manage incoming and outgoing correspondence, documents, and signature items for the group leadership.

  • Execute complex administrative and office-related functions and activities - requiring sound judgement and a high degree of initiative - while balancing the diverse needs of the group.

  • Assist with Travel for management and group members.

  • Assist with all new hires/onboarding

  • Serve as primary timekeeper for the group.

  • Serve as the primary Designated Procurement Representative (DPR) and P-Card holder.

This position will be filled at either the AA 3 or 4 level, depending on the skills of the selected candidate. Additional job responsibilities (outlined below) will be assigned if the candidate is hired at the higher level.

Administrative Assistant 3: $47,400 - $73,200

Administrative Assistant 4: $57,800 - $89,500

What You Will Need

Minimum Job Requirements:

Leadership: Demonstrated mentoring and teaming skills. Utilization of tact, diplomacy, and discretion in dealing with sensitive and in-confidence information.

Communication: Excellent verbal and written communication skills, including proofreading, grammar, spelling, punctuation with a high level of accuracy and attention to detail. Interacting effectively throughout the organization hierarchy and partnerships with internal support organizations. Excellent customer skills.

Business Systems: Experience and understanding of administrative and business systems; including MS Office Suite (Word, Excel, PowerPoint), Outlook, Oracle Time & Labor, Concur and Teams. Experience with procurement systems, including willingness to hold a corporate purchase card and reconcile all statements in a timely manner.

Organization and Time Management: Demonstrated ability to organize, prioritize, and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities. Demonstrated record of dependability, availability, attendance, and punctuality. Demonstrated experience making decisions and resolving complex problems both independently and as a team member using judgement and creativity to determine the approach or action in non-routine situations.

Personal Leadership: Demonstrated ability to calmly manage interruptions and changing priorities; to complete assignments with or without established procedures; and be available and dependable.

Additional Job Requirements for Administrative Assistant 4:

In addition to the requirements outlined above, qualification at the higher level requires:

  • Professional, clear communication skills, experience working with and communicating with management (and support personnel) as well as, external stakeholders.

  • Advanced ability completing action items and tracking them to closure.

  • Demonstrated experience in onboarding visitors/new hire processing/support; accurate completion of forms, data entry and tracking; time keeping; electronic records management; meeting scheduling/logistics; calendar management for managers and conference rooms; domestic travel/reimbursements; and researching policies and procedures to complete routine and non-routine requests.

Education/Experience at lower level (AA 3): Position requires a High School Diploma and 3 years related experience; or, an equivalent combination of education and experience directly related to the occupation.

Education/Experience at higher level (AA 4): Position requires a High School Diploma and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation.

Desired Qualifications:

  • Knowledge of the Laboratory mission and how ALDDPP supports the mission.

  • Knowledge of Laboratory organizational structure, operations, and administrative policies and procedures.

  • Active Q clearance - Applicants must currently hold or have the ability to obtain a Q clearance.

  • Ability to identify and track action items.

Work Environment:

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2: Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
