The Associate Laboratory Directorate for Physical Sciences (ALDPS) is seeking an experienced and highly motivated administrative professional to join our directorate office. The exceptional candidate will interact with senior leadership in the ALD office, as well all levels of staff across the lab. ALDPS consists of six divisions, two program offices, and three national user facilities.

The selected Administrative Assistant (AA) will be a key member of an administrative team in a fast-paced directorate, providing backfill administrative support to a variety of offices, which could include group offices, division offices, or the directorate office, with a broadly defined scope of work. They will be responsible for providing administrative support with minimal supervision, adapt to changing priorities, deadlines, environments, and show initiative to provide support where needed. This is accomplished with close cooperation, regular communication, and a team mentality between all directorate office staff.

They will showcase their problem-solving skills and ability to anticipate challenges and obstacles, while resolving these challenges with professionalism and discretion.

What You Need

Minimum Job Requirements:

  • Proven excellence in providing high-level administrative support in a busy office environment, including interfacing with all levels of personnel.

  • Excellent interpersonal, verbal, and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations, to include grammatical proficiency, formatting, and editing capabilities of written materials using accuracy and attention to detail.

  • Demonstrated record of dependability and reliability.

  • Proficiency with calendar management, scheduling meetings, and assisting in preparing materials for meetings.

  • Demonstrated ability to organize, prioritize, and follow-through to complete multiple tasks, often under strict deadlines, frequent interruptions, and changing priorities in a dynamic and fluid working environment.

  • Demonstrated ability to build effective working relationships and networks with coworkers and support staff across multiple organizations.

  • Ability to obtain a "Q" clearance, which normally requires US citizenship.

Education/Experience : Position requires a minimum of a High School Diploma and five years of related experience, or an equivalent combination of education and experience.

Desired Qualifications :

  • Knowledge of Laboratory organizational structure, operations, and administrative policies and procedures.

  • Experience interacting with high-level managers and officials, both internal and external.

  • Current LANL Designated Procurement Representative and a Purchase Card Holder

  • Advanced hands-on working knowledge and experience with LANL standard applications and systems, including Oracle time and effort, Ariba, Concur (Foreign and Domestic), Utrain, ChemDB, ATS, FVTS, CMS, and RASSTI.

  • Bachelor's degree is preferred.

Work Location : The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment : Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Where You Will Work

ALDPS consists of the ALDPS office, six divisions: Accelerator Operations and Technology (AOT); Materials Physics and Applications (MPA); Materials Science and Technology (MST); Physics (P); and Sigma, the Los Alamos Neutron Science Center (LANSCE) Facility Operations (LFO) Division, two program offices (Nuclear Energy and Acceleratory Strategy), and three national user facilities - LANSCE, the Center for Integrated Nanotechnology (CINT), and the National High Magnetic Field Laboratory (NHMFL). ALDPS develops and applies a broad set of capabilities in materials science and experimental physics to programs and problems of national importance. Frequently, our most basic research experiments stimulate possibilities for solving some of the most intractable national security problems, such as nuclear weapons stewardship, homeland security, intelligence and information analysis, and alternative energy.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements : To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test : The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position : Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants : Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
