Los Alamos National Laboratory Administrative Assistant 4 in Los Alamos, New Mexico
What You Will Do
The Integrated Weapons Experiments (J) Division is looking for an administrative assistant to support our Dynamic Structure Design and Engineering (J-2) Group. J-2 is responsible for the development of engineering standards, design, analysis, and procurement of impulsively loaded vessels and structures in support of the HSEES (Hydrodynamic and Subcritical Experiment Execution Support) Program.
The selected candidate should possess strong problem-solving skills, be able to anticipate and navigate challenges tactfully while delivering professional administrative support to J-2 managers and employees. In this role you can expect to execute complex administrative and office-related functions and activities requiring sound judgement while working in a team environment. Reporting to the J Division Staff Operations Manager, the selected candidate will exhibit cooperation, adaptability, and a willingness to provide support where needed while serving as a point of contact and resource for J-2. Duties include procurement, timekeeping, visitor/new hire support, completion of forms, electronic records management, meeting scheduling/logistics, calendar management for managers, domestic and foreign travel arrangements/reimbursements, high-level visit coordination, and researching policies and procedures to complete routine and non-routine requests.
What You Need
Minimum Job Requirements:
Proven competence in performing high-level administrative duties with minimal supervision. Working in a team environment and effectively working and interacting with all levels of personnel.
Proficiency in Microsoft Office Suite (Word, Teams, Excel, Outlook & PowerPoint).
Experience with email and calendar management.
Demonstrated ability to organize tasks, prioritize and follow through to completion with evolving priorities and frequent interruptions.
Knowledge of, and the ability to maintain compliance with policies, and procedures.
Ability to support and coordinate visits and meetings.
Demonstrated excellent interpersonal, verbal, and written communication skills with the ability to interact effectively with all levels of internal and external personnel.
Demonstrated ability to build effective working relationships with peers and managers.
Proactively resolve problems and issues both independently and as a team member.
Demonstrated record of dependability, availability, flexibility, and punctuality as proven by good attendance and quality of work.
Education/Experience: The position requires a High School Diploma and 5 years of related experience; or an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.
Desired Qualifications:
Demonstrated ability to effectively coordinate meetings.
Experience with LANL business systems; clearance action requests, Ariba, iExpense, Oracle Time & Labor, Concur for domestic and foreign travel.
Knowledge of the Laboratory's organizational structure and administrative policies, practices, and procedures.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
