Facilities Assistant
Role Purpose
Collate and record various data and information relating to, but not limited to, location performance, site visual appearance, operational effectiveness, energy performance, fabric condition, completion of checklists, maintenance of building and plant, data input and analysis. Support site management in the proactive monitoring and analysis of data pertinent to building performance and appearance.
Create and present proposals to management for areas of improvement
Brief summary of the role
Key Responsibilities
‒ Complete daily building floor walks recording defects, faults and findings
‒ Cover whole building on rotating basis over two weeks
‒ Areas include but not limited to; kitchen restaurant, kitchens, breakout rooms, meeting rooms, office, open plan areas, collaborative spaces, washrooms, shower rooms, auditorium, plant rooms, gym, exterior balconies
‒ Monitoring and updating jobs tracker to completion of jobs
‒ Analyse data reports and identify areas for improvement based on previous findings
‒ Compile and distribute weekly and monthly reports to management
‒ Provide management with data supported recommendations for service enhancements and improvements
‒ Arranging and confirming contractor and supplier visits to site to complete works
‒ Hosting, escorting and management of visiting suppliers and contractors
‒ Creation and checking of health and safety documentation prior to works starting
‒ Attend daily direction setting meetings and contribute towards content
‒ Attend, and actively participate in, any meetings as requested
‒ Follow all Health & Safety and Environmental requirements that are defined on work instructions or communicated in training
‒ Follow required emergency procedures as documented and to respond accordingly during emergency situations
‒ Report all accidents, occupational illnesses and emergencies
‒ Complete Hazard Cards for any and all hazards encountered during normal working process
‒ To take responsibility for defects and follow up on any repairs
‒ To be self-motivated and proactively seek out work
‒ Complete all reasonable requests received from Management
