We have an opportunity for a Document Control Supervisor to join our team, working on a variety of high-tech building design and construction projects. Project focus would initially be data centres and telecommunications facilities and would grow to include a variety of other facilities including pharmaceutical, biotechnology, healthcare, manufacturing, airports, or institutional.

This role sits within our global facilities services Mission Critical team, providing an opportunity to build your career and your team to serve this expanding sector. The key tasks and responsibilities are as follows:

The Document Control Supervisor is responsible for managing and organizing a vast amount of electronic and hard copy design, supplier and construction documents. This position is responsible for the supervisory direction and leadership of the Document Control group within the Burns & McDonnell Global Practice.

  • Organize and lead team meetings.

  • Liaison with Global Practice management on document controls initiatives.

  • Lead in the development of objectives and requirements for the group; organize projects and develop standards and guidelines.

  • Recommend organizational structure changes in order to more effectively and efficiently achieve the objectives of the group.

  • Evaluate and recommend technical development and efficiency improvement projects to better serve clients, increase staff skills and maintain billable goals.

  • Provide technical direction for the Document Control group.

  • Assigning work and reviewing performance to ensure the efficient, cost-effective utilization of staff.

  • Ensure appropriate individuals are trained on document control procedures; includes training multi-disciplined project team members, clients and suppliers.

  • Manage the storage of project records in accordance with the document control procedures and maintain document project structure for consistency and create new folders for project team members.

  • Manage quality assurance standards and conduct quality reviews and ensure that procedures are followed and that the modules are used in a consistent manner throughout each project timeline.

  • Ensure the transferring and documenting project communication between suppliers, client, and company (e.g. transmittals, meeting minutes, company and contacts list, notices, submittals).

  • Manage the interface with clients to ensure that projects are following the requirements that were established and lead the effort of ensuring documents are available to all appropriate parties.

  • Implement and manage all new or revised changes to document control efforts.

  • Responsible for the recruitment, development, training, and retention of staff.

  • Responsible for conducting performance evaluations for department staff.

  • Provide leadership, guidance, and instruction to the department.

  • Responsible for interpreting the organization's policies, purposes, and goals to staff.

  • Responsible for overall QA/QC process adherence.

  • Enforce compliance with company and site safety policies.

  • Responsible for diversity initiatives.

  • Performs other duties as assigned

Qualifications

  • Bachelor Degree in business, communications, management, information technology or related field and 4 years related experience Required or

  • Applicable experience may be substituted for the degree requirement Required

  • Previous experience in an engineering consulting environment preferred.

  • Requires a broad knowledge of document control systems, as well as industry specific document control procedures and best practices. Requires previous experience working with engineering industry standard technical documents, specifications, data and design drawings.

  • Must have demonstrated knowledge and previous experience working with development of standard document packages and data books related to engineering design, bid and construction. Must be proficient in the use of document control software. Previous experience working with Document Locator, Project Wise, Documentum, Primavera, SharePoint, or other applicable document control software packages is required; advanced knowledge in these programs is preferred.

  • Prior supervisory experience is required. Previous experience developing and delivering training material is preferred.

  • Must demonstrate excellent written and verbal communication skills, strong interpersonal skills, and the ability to clearly and effectively present complex information to all levels of employees, management and clients.

  • Position requires the ability to thoughtfully and positively lead, influence and manage change. Must possess strong project management skills and a strategic perspective. Requires strong problem solving and conflict resolution skills. Must be innovative and creative to provide new document control solutions for project teams or departments. Must be capable of applying extensive and diversified knowledge to broad areas of assignments.
