The Team and Job Summary

J.S. Held is seeking to recruit a high-energy Client Billing Coordinator with a strong focus on delivering exceptional service and superior work products to our internal and external clients. Your primary responsibility will be working with a congenial finance team to support a growing business. We are looking for professionals with strong computer and communication skills, as well as experience with invoicing and customer service. J.S. Held is focused on learning and development and is continually looking to attract and retain top talent who is creative, self-motivated, and organized.

Job Responsibilities

  • Generate outstanding invoices to submit to our clients for payment.

  • Support accounts receivable and collections when needed.

  • Process and record high-volume client invoicing transactions.

  • Respond to inquiries from clients and management to resolve discrepancies.

  • Review the appropriateness of credit and debit memos related to client invoices.

  • Experience working in and recording information in an ERP environment (Microsoft Dynamics D365 Finance and Operations) or other proprietary software.

  • Follow up as necessary to ensure payment of invoices.

  • Various administrative projects as assigned by management.

    Required Qualifications

  • Client facing billing experience working for a high-volume professional services firm is required. Experience with WIP is required.

  • ERP/proprietary software experience is essential. Experience with Microsoft Dynamics 365 is a plus.

  • Experience with high volume invoicing.

  • Associate degree or higher preferred.

  • Proficiency in Microsoft Excel, Word, Outlook including v-lookups and pivot tables required.

  • Pleasant telephone disposition and effective communication skills with the ability to build and maintain good relationships with customers.

  • Back up responsibilities performing general administrative work. Answering incoming calls.

  • Well-organized and detail-oriented. Multi-tasking is essential. Ability to work in a high-pressure, fast paced environment.

  • Proactive and able to make recommendations to improve invoicing and accounts receivable processes.

  • Ability to handle confidential information.

    Preferred Qualifications

  • Knowledge of Xero Accounting software.

  • Knowledge of Pivot Tables.

  • Client Invoices Portals.

  • Experience in collections.

    Physical and Mental Job Qualifications

  • Prolonged periods sitting at a desk and working on a computer.
