What You'll Work on
The Sales Administration Specialist is responsible for facilitating communication and documentation between sales, implementation engineers, production, shipping/logistics, and the customer by receiving and processing customer’s purchase orders, providing accurate pricing and terms, evaluating and solving customer purchasing problems to ensure prompt and proper movement of each order through to shipment of goods and/or services. The Sales Admin Specialist also fulfills departmental roles by assisting with renewal services, providing basic quotes, conducting bid searches, project fulfillment milestones details, and other detailed responsibilities within the sales administrative processes, including other pre-sale activities.
You'll Support Your Team by Performing the Following Key Tasks
Create and maintain a strong culture in accordance with Campbell Scientific’s core ARCTIC values -- Accountability, Respect, Client-Centric, Teamwork, Innovation, Continuous Improvement.
Oversee and assist with distribution of workload for the team:
Orders inbox
Regional assignments
Share updates to processes, systems, procedures, etc. with the team.
Support team members in ensuring orders move through all parts of the order cycle in a timely manner.
Assist manager with investigating sales orders that are overdue for shipment.
Supervise phones to ensure there is proper coverage.
Submit requests for products to be added to Experlogix.
Oversee SureTax setup for customers.
Handle complex order modifications for other Sales Administration Specialist team members based on regular feedback on system performance.
Receive and process customer orders and provide simple, verbal price quotes via the web or phone.
Verify pricing, terms and conditions, shipping requirements, warranty information, payment terms, and any special customer instructions or requests for each order including confidential information.
Ensure timely and accurate order processing through KPI’s and goal setting.
Follow up with Sales Engineers, Shipping services, and others in coordinating order fulfillment to ensure on-time product order delivery.
Understand general product information in order to communicate with customers on product lines.
Secure accurate order data from the customer through established verification process.
Resolve customer order issues to the satisfaction of both customer and company.
Prioritize individual/team workload to ensure effective execution of responsibilities.
Accept and perform other assignments as proficiencies are gained.
What We're Looking For
2 years of post-high school education with emphasis in business, marketing, office occupations, and customer service.
Adaptability to changing environments affecting Sales and Order Processing imposed by the customer and/or the company.
Ability to work well in both individual and team assignments.
Superior customer service oral and written communication skills including diplomacy in handling customer requests and conflict within company policy and procedures.
Sound understanding and application of purchase contracts including contract terms and conditions; and the methods and terminology in shipping services.
Efficient use of computer systems and software including Microsoft products, etc., proven ability to learn new systems.
Use of multi-line phone and telecommunications systems.
Effective decision-making skills that differentiate symptoms from problems.
A drive for results with minimal supervision.
Work Environment Office setting, including the use of a variety of office equipment and computer systems and frequent work interruptions.
Physical Requirements
Combination of standing and sitting for extended hours during the workday; close and distance vision abilities including color and depth perception.
