Print & Mail Quality Control Specialist

Department: Quality Control

Reports to: Quality Control Manager

Location: Liverpool

Full-Time: A typical work schedule is standard business hours, with the flexibility required to handle escalations or support during peak times or special projects.

Pay Schedule: Weekly Pay

Non-Exempt: Compensation starts at $42,000 - $47,000 yearly depending on experience

  • All hourly positions:

  • 2nd Shift, +$1. hour Shift Differential

  • 3rd Shift, +$2. hour Shift Differential

    Position Summary

    The Mail Quality Assurance Specialist analyzes and compares outgoing mail to ensure accuracy, consistency, and compliance with organizational standards. The role involves detailed inspection of printed mail items, identifying discrepancies, and coordinating with relevant departments to rectify issues. The specialist must maintain the privacy and security of information, as errors can significantly impact client satisfaction and compliance.

    Essential Duties

    The essential functions include, but are not limited to, the following:

    Mail Analysis and Comparison:

  • Examine incoming and outgoing mail for accuracy and consistency.

  • Compare mail items against established criteria and documentation.

  • Identify and document any discrepancies or errors in printed mail.

    Quality Assurance:

  • Ensure all mail items meet organizational and client-specific quality standards.

  • Report any issues or discrepancies to the appropriate department or supervisor.

  • Follow up on corrections and ensure resolution of identified issues.

    Documentation and Reporting:

  • Maintain detailed records of mail comparisons and findings.

  • Prepare regular reports on the status and quality of mail items.

  • Document processes and procedures for mail comparison.

    Communication and Coordination:

  • Coordinate with various departments to resolve mail discrepancies.

  • Communicate effectively with team members and other stakeholders.

  • Provide feedback and recommendations for improving mail processes.

    Compliance and Standards:

  • Ensure compliance with organizational policies and industry regulations related to mail handling.

  • Stay updated on changes in mail handling procedures and standards.

    Inspection and Testing:

  • Conduct regular inspections of materials, in-process products, and finished goods.

  • Document and report inspection results, including any defects or deviations from specifications.

  • Review live production files using a quality control checklist.

    Process Monitoring and Improvement:

  • Monitor production processes to ensure adherence to quality standards.

  • Identify areas for process improvement and work with production teams to implement changes.

  • Develop and update quality control procedures and protocols.

  • Trace bad mail pieces in production.

    JIRA Board Management:

  • Manage the JIRA board tracking system to track and prioritize quality control tasks.

    Compliance and Training:

  • Train production staff on quality control standards, including HIPAA, PII, and PHI requirements.

    Minimum Qualifications

  • High school diploma or equivalent.

  • Minimum of 3 years of experience in quality control or quality assurance in a manufacturing or mail production environment.

  • Previous experience in mail handling or a similar role is preferred.

  • Training in quality assurance or compliance is a plus

  • Attention to detail and strong analytical skills.

  • Excellent written and verbal communication skills.

  • Proficiency in record-keeping and documentation.

  • Ability to work independently and as part of a team.

  • Familiarity with mail handling procedures and quality standards.

  • Proficient in relevant software applications (Microsoft Office suite, SharePoint, Teams, Jira).

  • Strong problem-solving skills, curiosity, and a sense of urgency.

  • Ability to follow directions, hold others accountable, and be self-driven.

  • Commitment to continued learning in a dynamic environment.

    Decision Making

    Independence of Action

    Work progress is monitored by the supervisor/manager; the incumbent follows precedents and procedures and may set priorities and organize work within general guidelines established by the supervisor/manager.

  • Work is performed in a warehouse or production facility environment.

  • May be exposed to varying temperatures, noise, dust, and printing chemicals.

  • Requires frequent standing, walking, crouching, bending, kneeling, lifting, and using repetitive motions of hands or wrists; finger, grasp, handle, or feel; reach with arms and hands for extended periods.

  • May require lifting up to 50 pounds and operating pallet jacks and forklifts.

  • Standard working hours with potential for overtime during peak periods
