Job Description

PCG is seeking an experienced Event Planner for its operations based in Lenexa, Kansas . This individual will:

Responsibilities:

  • Executethe planning and coordination of events, including conferences, corporatefunctions, and customerevents.

  • Managebudgets andmakedecisions to stay withinevent parameters to avoidcompromising the quality of the event.

  • Createand manage event registrations, RSVPs, and attendee communications to ensuretimelyandaccurateinformation.

  • Consultwith vendors, suppliers, and contractors to ensure all event needsare metand contractual obligations are fulfilled.

  • Collaborate withinternal departments and seniorleadersto understand their vision, preferences, andobjectivesfor each eventwhile ensuring alignment of companystandards.

  • Coordinate eventlogistics, including but not limitedtovenue selection,pre-planning, registration and attendee tracking,agenda, signage,event layout/maps, transportation, catering, audiovisual equipment, timelines, vendor negotiation, vendor management,andentertainment selection.

  • Attend and manageeventwith on-site setup/breakdown, registration, and swagdistribution.

  • Provide excellent on-site support to event attendees, addressing and troubleshooting any issues or concerns promptly and professionally.

  • Travel tolocal and nationwidelocationsfor future venue selections.

  • Conduct post-event evaluationwith senior leaders andgather feedback for continuous improvement.

Requirements

Basic Requirements:

  • 3-5 years of experience planning,managing,and executing large-scale events involving executivelevelattendees

  • Experience managing a budget and reconciliation

  • Strong written and verbal communication skills, with the ability to interact professionally withsenior leaders,team members, and vendors

  • Excellent organization, multi-tasking,follow-through,and customer service skillsrequired

  • Keenattentionto detail.

  • Proficiencyin Microsoft Office Suite (Word, Excel, Outlook)

  • Creative thinking and problem-solving abilities to manage unexpected challenges during events

  • Ability to adapt to changing priorities and work under pressure

  • Must have a schedule that will allow for non-traditional working hours: including weekends, before and after traditional office hours as needed

  • Must be willing to travel around 10-12 weeksannually

  • Experience partnering with different vendors and managing contractual negotiations (EX: Hotels that are hosting our events)

  • Must have a creative eye when it comes to décor, event floor layout, etc.

  • Highly motivatedandoperatesexceptionally in a fast-pacedenvironment

  • Workswell with a team and individually

  • Maintain confidentialityof department

Preferred Requirements:

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field is a plus

  • Experience using event management software (Smart Sheets, Microsoft Forms, etc.) is a plus

  • Local to the Kansas City Metro area

  • Holds relevant certifications such as CMP (Certified Meeting Planner) and/or PMP (Preferred Meeting Planner) preferred
