Sunrun Auto Fleet Administrator in Lehi, Utah

Overview:

This position is responsible for providing field support for the evaluatio n and day to day administration of Sunrun’s Vehicle Flee t .

Responsibilities:

Day to Day Administration

  • Prioritize field/office support requests and complete in a timely manner

  • Administer several fleet related programs that included maintenance, fuel, registration and telematics with many detailed procedures

  • Update department databases, spreadsheets, and calendars

  • Track DOT compliance and provide reporting and compliance metrics to company leadership

  • Analyze costs of repairs, negotiate rates, and remain fiscally responsible

  • Analyze department key performance indicators, develop action plans and lead projects to improve efficiencies in fleet operations

  • Maintain the vehicle fleet and equipment at its highest level by facilitating and directing preventative maintenance, repairs, and recalls while maintaining productive internal relationships

  • Analyze reporting to identify opportunities for efficient deployment of vehicle assets

  • Reconciliation of authorized drivers

    Fleet Violation Administr ation

  • I nvestigate fleet violations including: moving violations, fix-it tickets, parking tickets and toll violations

  • Lead fleet violation ticket processing and payment within 3 rd party partnership and communicate to employees and managers for at-fault vehi cle tickets for employee required payments. (Speeding Cameras, red light camera violations, parking tickets, etc.)

    Fuel

  • Audit fuel transactions, fuel cards and pin numbers as needed

  • Work to recover fuel fraud funds within vendor website (WEX)

  • Add, delete a nd audit fuel pin numbers on vendor website (WEX) for new and terminated employees as needed.

  • Administrate and audit Sunrun’s sales Stipend fuel program.

  • Weekly and biweekly removals and assignments for Stipend program.

  • Ensure stipend eligible employees ut ilize stipend fuel cards for their personal vehicles as per policy.

  • Audit stipend fuel usage against existing vehicle fleet to eliminate double fuel expensing.

    Fleet Accident & Policy Management

  • Maintain an accurate and up to date fleet accident log

  • Field, log and respond to fleet inquiries from insurers, brokers, reinsurers, claim administrators, regulatory authorities and internal stakeholders

  • Gather and ensure receipt of fleet documentation from all internal business units

  • Reconcile insurance polic y information on carrier/broker invoices and support the process of determining, collecting and paying all insurance premiums and escrow invoices and coordinate processing with corporate accounting

  • Maintain a national fleet policy containing summary inform ation on state requirements

  • Issue incident notifications to insurers and follow claims management procedures to ensure timely disclosure

  • Work with third party administrators on claims reporting, service level agreements, loss reporting and assist with crea ting appropriate reporting dashboards

  • Assist with keeping insurance and claims procedures up to date

    Federal/State Motor Carrier Permit Program (Assist)

  • Research federal and state motor carrier requirements

  • Work with Branch Managers to ensure box trucks are compliant

  • Maintain yearly motor carrier permit

Qualifications:

Professional Experience

  • HS diploma or GED required

  • Associates degree in business administration or related degree preferred

  • Customer service experience preferred

  • Experience working with 3 rd party Fleet Management Services (ARI, Element/GE F l eet, Donlen , PHH etc.) is plus

    Skills

  • Excellent oral and written communication

  • Attention to detail

  • Aptitude and ability to dissect and validate data and problem solve

  • Ability to work independently and in groups

  • Establish and maintain schedules and meet deadlines

  • Working knowledge of Microsoft Office essential
