Records Technician

This position provides administrative support to the Healthy Families Florida program. This position will report to the St. Petersburg Center of the Florida Department of Health.

Your Specific Responsibilities:

  • Data Entry: Accurately enters and maintains information for the program’s databases and various client tracking systems including the Electronic Health Record in HMS and the Healthy Families Florida (HFF) data base. Registers new clients in the Electronic Health Record and HFF data bases, scans and imports documents into the Electronic Health Record according to established naming conventions and monitors own work to ensure the documents have been acutely scanned and imported. Documents in the Electronic Health Records progress notes as needed to identify record errors/deletions to imported documents. Preforms data cleaning functions for HFF. Meets grant goals and objectives, programmatic and funder requirements, and licensure as applicable. Maintains standards and applicable regulations for personnel, electronic medical records management, and programmatic/funder requirements. Functions as a trainer for new clerical staff. Receives, sorts, date stamps, and checks documents for accuracy prior to scanning and identifies poor originals, errors/ and acts within the scoop of responsibility or brings to the attention of the supervisor if needed and makes the necessary.

  • Reports and Operations: Produces HFF and other data base reports for the Healthy Families office. Types correspondence, travel and special projects. Copies and completes faxing. Operate and/or utilize a variety of standard business and office machines.

  • Clerical Support: Produces labels for documents that gets scanned into the Electronic Health Record. Performs Abuse Registry Checks utilizing FSFN. Types cab vouchers when requested, faxes over to vender and maintains records of all requests. Opens and routes mail.

  • Purchasing: Purchases program supplies as requested either in person utilizing the state issued P-Card or the MFMP system. Ensures that all rules and regulations are followed regarding Purchase Orders and Works purchases. Maintains accurate records and inventory of all purchases.

  • Reception Support: Acts as a receptionist, answers phone lines, takes messages, greets and routes visitors and assures appropriate professional communications. Provides coverage for other support staff in the Maternal and Child Health Division. Professionally greets and assists culturally diverse families according to contacting the program by either phone of in person.

  • Special Projects: Completes Special Projects as assigned, including Parent Support Group activities, including Parent Group packets and other desktop publishing tasks.

  • Meets regularly with supervisor to discuss issues, opportunities, and to provide input. Supports the team to ensure the flow of work activities. Participates in regular staff meetings. Attends training to promote professional and personal growth.

  • Promotes the division and agency’s mission by participating in quality improvement activities.

  • Performs all other duties as assigned (I.e., Key custodian).

    Required Knowledge, Skills, and Abilities:

  • HMS/Healthy Management Services experience.

  • HFF/Healthy Families Florida database experience.

  • Ability to proficiently operate a personal computer for data and accompanying software.

  • Knowledge of general office procedure and practices.

  • Ability to prepare reports and correspondence.

  • Ability to correct spelling, punctuation, and grammar.

  • Ability to proofread data and typed material for errors and to make necessary corrections.

  • Ability to read, speak, and write English fluently.

    Qualifications:

    Minimum –

  • One to two years of experience working in a professional clerical/administrative role.

  • One to two years of experience using various professional computer programs including e-mail, the Internet, and Microsoft Office.

  • At least two years’ experience in answering phones in a business setting. At least two years of experience working with the public.

  • Fluency in English to include reading, writing, and speaking.

    Preferred -

  • Bilingual with written and spoken fluency in English and Spanish.

  • Healthy Families program experience.
