Department Manager leads and manage the Distribution/ Warehouse Department’s processes, systems and tools, through the implementation and measurement of defined goals so that the department has strong technical expertise, strong infrastructure, strong and knowledgeable personnel. Department manager leads our relentless pursuit of efficiency and operational Excellence by identifying innovated solutions on processes and systems.
Administration and Personnel Management
Design and establish a structure to cover the operational needs of the department and its satellite offices, taking into account future growth.
Manage and monitor service execution within his team.
Ensure that team is properly staffed, structured and organized.
Supervise staff turnover and conduct interviews regularly.
Manage resource needs for the department.
Manage timely and effective staff evaluations and reviews at least every 12 months and ensure a PDP is created and agreed with every employee. Provide feedback, coaching, mentoring to staff on an ongoing basis.
Make certain that all staff members complete annual training in required timeframes and manage staff for continual growth in skills and expertise, specifically in the art and application of the Fundamentals of Business Process.

Build healthy cross-functional relationship. Ensure a healthy work environment, promote team spirit and cohesiveness in the department as well as working together with other teams.
Ensure that company controls, policies, procedures, processes, applications, tools, and systems are understood and implemented.
Ensure oversight, including self-assessments and daily monitoring so that issues are identified timely and root cause sustainably addressed.
Assist in establishing and executing the department TBP, goals and expectations and monitoring the progress towards the goal
Efficient management of the coordination of the Warehouse team initiatives and projects

Manage capacity and drive efficiency
Conduct weekly department meetings with team and regular meetings with other departments and project stakeholders as needed
Ensure strong knowledge and proper use of all Expeditor systems and tools, applicable to the department, especially the use the EDMS system.
Contribute to a global operational standard to create and protect the pursuit of a Best-in-Class operation.
Primary focus on establishing efficiency in the optimization of operational processes, systems and tools and continuously improve the productivity and quality of the service to our customers, through data analysis and technology solutions. Set the tone of this environment within your department.
Review records/reports to determine reasons for discrepancies between inventory and stock control records and recommends remedial actions to resolve discrepancies.
Coordinate with Distribution and Warehouse team to identify opportunities to improve quality, service, and profitability through the pursuit of efficiency and consistency.
Prioritize problem areas within Distribution and Warehouse operations through communication with operational staff and via observation, process mapping, timing studies, and other process improvement methodologies
Coordinate with other department managers to create awareness and ensure alignment, with process improvements within the district.
Determines and recommends enhancements for systems and tools to meet cost and service goals.
Develop and manage work breakdown structure (WBS) of projects
Develop and update project plans including information such as project objectives, technology, systems, specifications, schedules, expense, etc.
Manage project execution from initiation to implementation, ensure adherence to the scope, project schedule, progress of development tools and ensure process enhancement
Ensure the development and implementation of productivity indicators such as but not limited to dashboards, monitors, reports, etc.
Monitor the efficiency of existing tools and systems, evaluative results to identify any potential discrepancy.
Work alongside with District Business Operations (DBO) and IS (when applicable), to ensure the proper development and automation. Ensure alignment with our core systems
Collaborate with Regional Manager, Business Operations in the implementation of processes and systems as well as other districts, and global resources to build consistency in all processes
Introduce new processes to our operations in our pursuit of relentless efficiency
Receive and roll out new operating systems and related tools – and provide meaningful feedback to department corridor
Review records/reports for accuracy of information and compliance with established procedures
Work hand on hand with Distribution manager to ensure compliance with policies and procedures and assist in the process or OPA’s, CAPAS
Develop optimum efficient processes without sacrificing compliance, oversight or controls
Develops and/or updates procedures to ensure the efficient operation and utilization of office equipment.
Escalate necessary issues to District or Branch Manager.
To be the most effective in this position the ideal candidate should possess the following:
Education: Degree (preferred): Bachelor's degree in Computer Engineer or Business Administration or equivalent combination of education and experience
Experience: 3-5 years of experience in Operations, Business Operations and/or IS experience required, including experience successfully leading teamwork projects, efficiency tools development and/or operational process enhancements required. Two years of supervisory experience preferred.

Strong computer skills, including knowledge of all Microsoft Office applications and other development software
