Facilities Specialist

Alliance Defending Freedom is looking for a professional Facilities Specialist to join us in our Lansdowne, VA office.

As a Facilities Specialist, you will play a critical role in the smooth operation of the Lansdowne campus. This position combines advanced facility management tasks with strategic support to ensure that building systems, maintenance efforts, and operational workflows are managed effectively. You will serve as a trusted partner to the Facilities Manager and will take on a leadership role within the Facilities team. This position demands an exceptional degree of professionalism, attention to detail, and a strong commitment to service excellence

Your Essential Responsibilities:

Campus Management & Operations Support:

  • Serve as the senior facilities assistant, providing leadership and oversight to the daily operations of the Lansdowne campus, including the main office building, Guest House, grounds, and common areas.

  • Assist in managing key building systems (HVAC, security, video surveillance, irrigation, fire alarms) by coordinating routine inspections and providing backup support to the Facilities Manager.

  • Supervise and coordinate the completion of facility requests and ensure tasks are carried out in a timely and professional manner.

  • Ensure that the campus and all facilities-related areas are neat, safe, and in good working order.

  • Participate in office reconfiguration including moving furniture and equipment.

  • Oversee and perform general maintenance tasks on building systems such as lighting, plumbing, and HVAC. Oversee and complete various building repairs, including light carpentry, plumbing, drywall, and paint.

  • Work with or assist trades contractors to complete projects or repairs.

  • Ensure compliance with established safety standards and best practices.

Vendor & Contract Management:

  • Take a leadership role in coordinating with vendors, contractors, and service providers, ensuring timely completion of services and adherence to contractual terms.

  • Work closely with the Facilities Manager to evaluate vendors, secure quotes, and track performance.

  • Monitor all vendor invoices related to facility operations, ensuring they are processed promptly and accurately.

Event & Meeting Support:

  • Coordinate and lead the setup for meetings, conferences, and other events across the Lansdowne campus, ensuring the environment is prepared according to the needs of each event.

  • Work with internal teams and external vendors to ensure all logistics are handled for meetings, including catering, A/V setup, and room configurations.

Guest House & Office Space Operations:

  • Manage the reservations, upkeep, and operational needs of the Guest House, ensuring cleanliness, maintenance, and proper stock of supplies.

  • Assist with office space configurations and workplace setups, including moves, changes, and seasonal adjustments to optimize workspaces for efficiency and comfort.

Supply & Inventory Management:

  • Take responsibility for inventorying, ordering, and maintaining supplies for the facilities, including breakroom items, cleaning supplies, and attic stock (light bulbs, plumbing supplies, etc.).

  • Oversee the management and organization of storage spaces and supply rooms.

  • Ensure that all maintenance-related stock (e.g., lightbulbs, HVAC filters, plumbing parts) is always available and well-organized for efficient use.

  • Process and submit all Facilities-related invoices and statements to Accounting.

Mail & Package Handling:

  • Lead all mail operations, ensuring incoming and outgoing mail is sorted, delivered, and dispatched efficiently, in compliance with security procedures.

  • Manage and coordinate all shipments and deliveries to the campus, ensuring packages are signed for, organized, and promptly delivered to the correct recipients.

Team & Facility Communication:

  • Serve as the primary point of contact for all facility-related communications, ensuring prompt responses to team members’ needs, questions, and service requests.

  • Update and maintain the campus event calendar, ensuring all team members are informed about facility use and availability.

  • Assist with new employee facility orientations to ensure they are familiar with building policies and procedures.

Compliance & Safety:

  • Assist the Facilities Manager with ensuring all facility-related safety protocols and training are up-to-date, including OSHA and fire safety.

  • Monitor facility security systems and assist with emergency response procedures as needed, ensuring the safety of all personnel.

Other Responsibilities (Non-Essential):

  • You will be asked to perform related duties or special projects as assigned.

  • Some duties require driving (requires a valid driver’s license and satisfactory driving record).

Skills You Need to Succeed:

The ideal candidate will demonstrate a high degree of competency in:

  • Advanced Facility Operations:

  • In-depth knowledge of building systems and facilities management practices (HVAC, security, plumbing, electrical, and fire safety systems).

  • Ability to troubleshoot and resolve minor to moderate facilities issues quickly and efficiently.

  • Leadership & Teamwork:

  • Proven ability to collaborate across teams, leading by example and supporting the Facilities Manager in delivering top-tier service to all staff and guests.

  • Strong interpersonal skills and the ability to work effectively with a diverse team.

  • Time Management & Prioritization:

  • Ability to multitask and prioritize effectively in a fast-paced, dynamic environment.

  • Strong organizational skills with meticulous attention to detail and follow-through.

  • Communication & Problem-Solving:

  • Excellent verbal and written communication skills.

  • Ability to proactively solve problems and communicate effectively with internal and external stakeholders.

  • Customer Service & Hospitality:

  • Exceptional service orientation, going above and beyond to meet the needs of team members, guests, and other stakeholders.

Education and/or experience:

  • Education: High school diploma required. Associates or Bachelor’s degree in Facilities Management, Business Administration, or a related field preferred.

  • Experience: 3-5 years of experience in facilities management, maintenance, or a related field.

  • Certifications: OSHA certification or other relevant facilities-related certifications are a plus.

  • Valid driver’s license and satisfactory driving record required for occasional errands or deliveries.
