Administrative Assistant II, Corporate Engagement

Alliance Defending Freedom is looking for a highly motivated Administrative Assistant II, Corporate Engagement to join us in our Lansdowne, VA Office. As the Administrative Assistant II, you are a vital part of the Corporate Engagement Team. In this role, you will report to the Director of Communications and Coalitions and are responsible for supporting your assigned team in a variety of administrative, project management, and communications tasks.

Your Essential Responsibilities:

In this position, you will:

  • In coordination with the Coalitions Manager and Project Coordinator, maintain, update, and manage databases for each coalition and network with optimization of information to effectively execute Corporate Engagement team goals and facilitate cross-team and alliance assistance.

  • Manage a variety of clerical responsibilities and projects with direct supervision.

  • Proofread documents. Review grammar and sentence structure.

  • Prepare and coordinate travel itineraries.

  • Reconcile purchase card expenses and prepare vouchers to submit invoices for payment.

  • Maintain and manage administration needs (i.e. office supplies, IT support, etc.)

  • Create and edit presentations, correspondence, memos, reports, graphs, organizational charts, and faxes.

  • Print, scan, copy, and collate documents; prepare UPS/USPS/FedEx shipping labels, packages, and letters; and create, maintain, and organize hard copy files.

  • Coordinate workflows with Corporate Engagement team members and with members of other teams, e.g., Blackstone, Comms, etc.

  • Manage Outlook calendars and coordinate and schedule meetings.

  • Support the Director of Communications and Coalitions, Coalitions Relations Manager, and Project Coordinator with overflow projects as needed or requested.

Other Responsibilities (Non-Essential):

  • You will be asked to perform related duties or special projects as assigned.

Skills you need to succeed:

Demonstrated proficiency in:

  • Microsoft Office software, including Word, PowerPoint, Excel, and Outlook

  • Excellent organizational and time management skills

  • Strong internet research skills

  • Strong written, verbal, and interpersonal communication skills

  • Strong grammar and proofreading skills

  • Excellent customer service skills

  • Coordinating multiple schedules

  • Attention to detail

Ability to:

  • Prioritize, multitask effectively, be organized, and meet deadlines

  • Initiate, work, and motivate within a team or independently

  • Handle confidential information

  • Engage with and master new and existing information management systems

  • Make sound decisions under demanding conditions

  • Manage projects & follow up promptly

Education and/or experience:

  • Preferably 3+ years of administrative experience.

  • Legal administrative assistance experience a plus but not required.
