With oversight and direction from the GME Administrative Coordinator, Program Director and the Designated Institutional Official, the Program Coordinator is responsible for the operational management of the accredited residency training program. The position requires a comprehensive and detailed understanding of national accreditation policies and hospital policies, as well as a high degree of initiative and independent judgment. The Program Coordinator will work to provide support to their designated residency (could be multiple residencies depending on the ACGME required FTE for each residency and the size of the residency program), as well as support for general Graduate Medical Education (GME) department. The position required a comprehensive and detailed understanding of national accreditation policies and hospital policies, as well as a high degree of initiative and independent judgment.

Coordinates Resident Education: Coordinate the daily operations and logistics for the program. Adhere to procedures and systems that ensure orderly and timely workflow. Implement and updates program databases. Coordinate with Chief Residents to maintain and distribute resident rotation schedules, call schedules, vacation/leave schedules, and meeting schedules. Coordinate outside electives which include applications to hospital(s), malpractice coverage confirmation, and evaluation forms. Prepare and distributes the yearly and monthly assignment schedules of the residents. Maintain confidential resident and fellow files.

Manages and collects Residency related data : Compiles, tabulates and reports data for surveys, questionnaires, census reports, accreditation reports and other forms and documents required by internal and external agencies as directed by the Program Director. Assists in monitoring resident's duty hours, patient logs and procedure logs via regular review of data reports. Maintain residency committee meeting minutes and develops reports as requested. Collect necessary information for developing appropriate database analysis tools to meet current ACGME/AOA requirements. Collect, compile, submit and maintain all resident reports or projects. Completes all residency related databases accurately, reliably and in a timely fashion. The database include but not limited to ACGME's WebADS, ERAS (Electronic Residency Application System), FREDA. Maintains database with resident and faculty data, including New Innovations. Develops and maintains tracking system(s) to capture all evaluative materials (completed by the trainees) necessary for measuring the value of each rotation and/or educational activity. Organizes said information for the Program Director's use in assessing curricularcomponents and the overall value of the training experience.

Oversee compliance: Tracks, reports and ensures compliance with procedures regarding licensing, moonlighting, annual contracts, and initial and re-credentialing of trainees. Informs Residents and trainees of inter and intradepartmental policy and procedure changes. Maintains up to date program letters of agreement with Physician Offices and other institutions for Intern and Residents rotations, necessary for Medicare Regulations. Interprets and applies ACGME, other national accrediting agencies, and hospital policies to support compliance.

Provides faculty administrative support: Process faculty professional organization membership. Updates core faculty's CV and scholarly activity on ACGME's ADS website annually. Assist faculty with technical issues associated with virtual interviews. Provide faculty with access to New Innovations to evaluate residents.

Oversee Program Accreditation, Resident Licensing: Maintain knowledge of current Pennsylvania medical licensure requirements, immigration policies, ACGME accreditation and institutional requirements. Knowledge of required test scores for entrance into the continued participation in residency training program. Participate in all ACGME required resident and program evaluation committees. Maintains an accurate, organized programmatic policy/procedure manual for the training program. Assist in the preparation for surveys and inspections. Arrange BCLS, ACLS, PALS, and ATLS and re-certification training courses. Coordinates the ACGME Accreditation and Reporting Requirements to External Agencies/Organizations: a. Compiles, updates and submits reports to ACGME/AOA, American Medical Association (FREIDA), and other professional organizations as directed by the Program Director. File records, ensure Resident/Intern records are current and accurate. Files must include: Current training license, current CV, Medical School information, including date of graduation, Social Security number, current ACLS/CLS certification.

Coordinates Appointments, Reappointments, and Termination: Coordinates general orientation of new residents (includes department, clinical areas and institution) Distribute and monitors the resident appointment and reappointment process. Prepares and monitor resident completion and/or termination process. Inform incoming residents of documentation required by the primary institution and state licensing board and maintains records of compliance. Coordinate all credentialing requirements of all initial appointments for interns as dictated by the primary and participating institutions as well as state licensing agency. Instruct residents from foreign countries regarding the procedures that must be followed with INS, ECFMG and the state licensing board. Assist new residents to ensure smooth transition to residency program.

Helps to assess and implement Program Quality Improvement: Identifies and evaluates the methods for gathering data on all aspects of the program and makes recommendations to the Program Directors for improvement. May assist in program-level policy development. Assesses training needs, and makes recommendations to the Program Directors.

Maintains Post Graduate Resident support: Prepare and distributes all post-graduation verifications. Maintain biographical information on all residents and update information on alumni. Prepares and monitor resident completion and/or termination process. Must assist in filling out credentialing forms for physicians applying to other institutions as well as applying for licensure.

Administrative Assistance: Provides support and meets regularly with the Program Director and Chief resident concerning office managment issues and activities and the status of projects. Ensures that confidential files and records of current residents and graduates are maintained. Assists in the preparation of appropriate letters of recommendation for graduates. Serves as adminstrative contact for Residents, and Interns. Develops, implements and oversees the maintenance of filing, records keeping, distribution of materials and other types of program systems. Audits trainees files at least every six months to ensure capture of all requisite and pertinent materials necessary to the trainee's successful completion of training program. Prepares list of missing or inadequate file items for the Program Directors. Ensures each file is organized and well maintained. Oversees all purchasing for the program. Assists Residency Program Director in distributing residency contracts. Attends local, state and national GME workshops when necessary. Serves as liaison between GME and other offices, internal and external as well as physicians and Sr. Administrative Officers. Maintains high level of confidentiality of information. Exercises good judgement and discretion in determining appropriate source of informatin and problem solving. Relies on experience and judgement to plan and accomplish goals. Effectively utilizes interpersonal communication skills and responds to office and telephone inquiries. Handles appropriate matters and answers questions providing accurate information. Exhibits strong organizational skills, prioritize tasks to meet obligations in a timely manner. Notifies administrator of any problems that may cause delays. Aids Residency Program Director in preparing check requests and forward to Residency Program Directors invoices upon receipt. Assists Residency Program Director with communication regarding education programs. Assist with set-up of New Innovation for program, maintenance of New Innovations software, and ensures that evaluations are performed in a timely fashion by Physicians.

BA/BS Degree required

Excellent written and verbal communication skills, ability to organize

information. Ability to handle sensitive information with absolute confidentiality. Working knowledge of software applications including Microsoft Word, Excel, and PowerPoint. Ability to make decisions independently or to escalate issues as needed.

Minimum of 3-5 years of office administration experience in a physician office or hospital setting. Previous GME Experience preferred.
