Description of Job

The purpose of the Motor Vehicles Investigations Unit (MVIU) within the Department of Motor Vehicles is to investigate and prevent fraud concerning the use of driver’s licenses, identification cards, motor vehicle titles and registrations, and other motor vehicle documents issued by the department. Also assist victims of identity theft by means of such documents.

We're hiring an organized, customer service oriented individual to be our Administrative Assistant II in our MVIU! You'll be answering calls from customers, county offices or law enforcement and routing the calls to the appropriate units. Use your excellent attention to detail to input information into various systems and file away records. Primary Duties:

Case Intake Management -

  • Reviews all case referrals and uses the case management intake procedures to determine if a case requires activation or if the complaint can be resolved without case activation.

  • Assures all case information is collected and entered into DRIVES and that all supporting documents are scanned and uploaded into the case file.

  • Prepares digital case files for all cases.

  • Monitors the Request for Investigations on a daily basis and corresponds with offices that are missing information in their referrals.

    Call intake and Mail -

  • Handles calls from multiple phone lines from various callers

  • Screens and sets appointments for Investigations.

  • Processes incoming mail.

  • Maintains, creates, updates and utilizes calendars and other systems/databases frequently.

  • Orders, organizes and maintains supplies for the unit.

    Unit Organization and Administrative Support -

  • Schedules and enters appointments for Investigators.

  • Files and stores sensitive material frequently and must maintain high level of confidentiality

  • on cases and information received.

  • Assist with various paperwork.

    This position reports to the Lakewood office once a week.

MINIMUM QUALIFICATIONS:

Experience Only: Two (2) years of relevant experience in a general clerical, call center and/or customer service role

General Clerical Work is work that is typically performed by office clerks, receptionists and/or administrative assistants. This includes, but is not limited to tasks such as:

  • Experience providing exceptional customer service and interfacing with a variety of people from many levels within the organization and community, greeting customers, referring them to the right people, making appointments

  • Answering phones, using a phone switchboard or managing multiple lines and taking messages, sending or making memos

  • Data Entry including: entering information into a program or database (appointments, contact information, customer records)

  • Familiar with the equipment and software used in offices (E-Mail, Google Suite - Docs, Sheets, Slides)

  • Operation of sophisticated computer systems, printers, copiers, fax machines and other technologies

  • Typing letters, reports, briefings, forms, memoranda, etc.

  • Checks and compares data for accuracy and completeness

    Education and Experience: A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years

  • Experience in case and/ or project management

  • Attention to detail

  • Demonstrated verbal and written communication skills

  • Proficiency with Google Suite

  • Bilingual English/Spanish fluency

    Conditions of Employment with the CDOR :
