Trustmark is currently seeking an Executive Assistant to work at our corporate office located in Lake Forest, IL. This is a hybrid work arrangement that requires 4 days in the office.
The Executive Assistant will support the executive leaders and provide high level administrative support including schedule management, handling information requests, preparing data and presentations, meeting and event coordination, and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings and catering, making travel arrangements, etc.
Duties & Responsibilities:
Provide high-quality administrative assistance to the executive and direct reports. Duties include scheduling meetings, organizing daily calendars, managing day-to-day operations of the division, making travel arrangements, planning on and off-site meetings and events.
Provides administrative support to executive leader projects, programs and initiatives, including status reporting.
Works closely with management and other departments to ensure that the scope and direction of each project is on schedule, tasks are being completed, and project will be delivered on time.
Serves as liaison and primary point of contact with other divisions/ELT members, corporate departments, consultants and partners. Support includes scheduling meetings, greeting guests, coordinating signatures and information requests, interview coordination, etc.
Supports office needs which include partnering with facilities and IT on space and new hire needs, maintaining office supplies, sorting and distributing mail, maintaining conference rooms, etc. Ensures proper operation of equipment, troubleshooting malfunctions, and calling for maintenance/repair of equipment.
Prepare and/or coordinate payment of invoices and expense reports. Maintains, tracks, reconciles and/or submits expense reports and allocation of charges. Ensures Travel & Expense submissions adhere to company policies.
Other duties as needed/assigned.
Education & Experience:
Required:
5+ years’ experience as an Executive Assistant to a Senior Executive and team of a mid-sized or large organization.
Strong interpersonal skills with ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
Ability to multi-task to manage/prioritize multiple projects simultaneously.
High level of demonstrated integrity and confidentiality.
Excellent computer skills with expertise in Microsoft programs.
Strong collaboration, detail oriented, accurate, organized and able to work independently in a self-directed environment.
Ability to meet deadlines with strong follow-up skills.
Strong communication (verbal and written) skills.
Strong critical thinking ability; use logic and reasoning to foresee and identify potential problems and proactively take steps to remedy the issues.
Outstanding organizational, problem solving skills and critical thinking skills.
Preferred:
Previous experience with Sharepoint and Concur.
Associates or Bachelor's Degree.
