Job Description
Facilities Maintenance Scheduler
Job Summary
The Facilities Maintenance Scheduler is a position reporting to the Associate Director of Maintenance Group. This position involves multiple aspects of an operations specialist, including but not limited to coordinating, planning, scheduling, project management, equipment status, KPI metrics, and Compliance for the Maintenance Department.
Job Responsibilities
Coordinate events using the electronic means of scheduling (Microsoft Project and Maximo) for Maintenance and Engineering, including but not limited to:
Engineering Projects
GMP Suite Shutdowns
Vendor Preventive Maintenance
Asset Owner (Manufacturing and QC) Preventive maintenance
Breakdown/corrective Work Orders, including (Wall/ceiling repairs in the GMP area)
HEPA Certifications
Develop the necessary skills to become the Subject Matter Expert of the CMMS Blue Mountain Regulatory Asset Manager ( Maximo ) by performing necessary administrative tasks including but not limited to:
Admin Request
Planning/Scheduling PM/Corrective WO’s
Asset Induction Request
Review and Approve Work Requests.
MRO parts availability and auditing
Non-Conformance Records
Plan and Schedule preventive maintenance and corrective work orders with the facilities manager and technicians daily to ensure minimal downtime to manufacturing. In addition, ensure the Purchase Orders for goods and services, spare parts availability, and technician availability are in order before planning and scheduling.
Become a Project Oversight for the Annual GMP Suite shutdowns and coordinate with other departments for shutdown-specific projects that require completion. Coordinate with Site Planning, Manufacturing, QC, QA, and GMP cleaning crew release requirements for Suite shutdown.
Provide daily equipment status updates to the asset owners for preventive maintenance and corrective work orders, ensuring minimal downtime for manufacturing. This includes attending the Daily 3Par Tier 2 Meeting and weekly 3Par Tier 3 Meeting.
Review KPI Metrics for the Facilities department, including but not limited to:
Backlog Open WO/Request count
PM Completion Compliance
Work Order/Request cycle time.
Asset induction cycle time
Ensure compliance is met for the Facilities and Engineering Department by completing the following items on time:
Preventive Maintenance
GxP Learn
Notify Management of a Deviation when required per SOP.
Following Facilities and Engineering SOP
Knowledge requirements:
High School diploma or equivalent plus a minimum five (3) years’ experience supplemented by studies or other vocational school OR Associate degree plus a minimum of four (2) years of experience.
Three years minimum in planning / scheduling experience
Experience in MRO (Maintenance, Repair and Operating materials) inventory management experience.
Must have computer skills and knowledge with MS Work, Excel, Outlook and PowerPoint.
Must have experience using Computerized Maintenance Management System.
Must be able to be periodically “on-call” on designated weekends and holidays and available on-site during plant shutdowns/start-ups, plant commissioning and decommissioning activities, and other operational events, planned and unplanned, when required.
Good understanding of GMP environment is a necessity.
The salary range for this position is: $63,155.00 - $81,730.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package.
