Meadowlark Counseling Services Administrative Assistant in Knoxville, Pennsylvania
Duties of Employee:
· Assist in the scheduling of clients and maintain calendars for counselor and administrators;
· Maintain client and business records;
· Prepare reports when directed;
· Answer and respond to all relevant correspondence via phone, mail, fax, etc. in an appropriate manner (i.e., return calls, write correspondence, etc.);
· Ensure all incoming correspondence has been relayed to the appropriate staff;
· Maintain inventory and purchase supplies;
· Provide clerical support for counselors and administrators;
· Maintain and apply all payment processes and documents, receive payments, and provide invoices to clients;
· Troubleshoot any issues that arise in the day-to-day operations;
· Address insurance inquiries via a third-party provider;
· Create and maintain a good working relationship with clients and staff;
· Operate with minimal supervision in completing assignments. Identify tasks that will help the office function smoothly. Research information when necessary. Complete time-sensitive tasks despite numerous intervening demands; and
· Other duties, as directed.
Required skills and qualifications:
· High school diploma or equivalent;
· Written and verbal communication skills;
· Strong time-management skills and multitasking ability;
· Aptitude for learning new software and systems; and
· Comfortable handling confidential information.
Preferred skills and qualifications:
· Previous experience and success in office management; and
· Experience developing internal processes and filing systems.
