Preferred Family Healthcare HR Executive Assistant in Kirksville, Missouri

Job Description:

Essential Job Functions:

Project Management:

  • Assist in planning, organizing, and executing human resources projects and initiatives.
  • Coordinate project timelines, ensuring milestones are met and deliverables achieved.
  • Collaborate with human resources (HR) team members to drive project success.
  • Provide support in due diligence processes, and project activities related to merger and acquisition activities.

Compliance and Policy Implementation:

  • Stay informed about changes in labor laws and regulations ensuring compliance in all HR practices.
  • Conduct research for the CHRO and designees on legal compliance matters.
  • Assist in developing HR policies and procedures in accordance with relevant laws.
  • Support the HR team in agency audits and surveys (CARF, HRSA, etc.).

Training Coordination:

  • Organize and coordinate training sessions for HR staff and other employees.
  • Ensure timely preparation and distribution of training materials.
  • Track training attendance and completion records.

Meetings and Calendar Management:

  • Assist in managing leadership calendars, scheduling meetings, appointments and events.
  • Coordinate logistics for HR department meetings and ensure timely distribution of agenda and meeting materials.
  • Arrange travel and accommodation for HR leadership as needed.

Employee Relations:

  • Assist in managing employee relations matters with sensitivity and confidentiality.
  • Support HR in the development and implementation employee engagement initiatives.
  • Assist in managing communication projects in collaboration with HR Leadership and Brightlis MarCom team.

HRIS Experience:

  • Utilize HRIS (Human Resources Information System) to maintain accurate employee records.
  • Generate reports and analyze HR data as needed.
  • Assist in the implementation and optimization of HRIS functionality.

Process Improvement:

  • Identify opportunities for process improvement within the HR department.
  • Collaborate with the CHRO and HR Leadership team to streamline workflows and enhance efficiency.
  • Implement best practices and contribute to continuous improvement initiatives.
  • Perform additional duties as may be assigned.

  • Excellent organizational skills and attention to detail.
  • Exceptional time management skills, ability to meet deadlines and adaptability in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Proficient in various computer applications including but not limited to: Outlook, Excel, Word, and PowerPoint.
  • Ability to work effectively with a dynamic leadership team to achieve strategic goals.
  • Personal qualities of integrity, credibility and a commitment to the organizations mission.
  • Flexible and able to multitask.
  • Willingness and ability to travel.
  • Demonstrated resourcefulness in setting priorities and guiding people and systems.
  • Ability to operate calmly in a crisis and maintain positive relationships with stakeholders.

Experience and Education Qualifications:

  • High school diploma, GED or equivalent required.
  • Associates or Bachelors degree in Business Administration, Human Resources or related field; preferred.
  • Minimum of 3 years related experience preferred.
  • Familiarity with HRIS and proficiency in MS Office Suite.
  • Strong project management skills and attention to detail.
  • Excellent communication and interpersonal skills.

  • None

Employment Requirements:

  • Successful completion of background check including criminal record, driving record, abuse/neglect and fingerprint check.
  • Completion of New Hire Orientation at the beginning of employment.
  • All training requirements including Relias at the beginning of employment and annually thereafter.
  • Curr nt drivers license, acceptable driving record and current auto insurance.
