Description

A.T. Still University (ATSU) is seeking applications for a non-exempt Administrative Support - Enrollment Services. This position offers first level support for students, faculty, and staff responding to questions and provides support to Assistant Vice President, Directors, and Assistant Directors in Enrollment Services.

Job Duties

  • Answers the primary Enrollment Services phone with an annual call volume of over 8,000, averaging as high as 1,300/month during peak processing season.

  • Greets visitors and answers questions.

  • Manages the main office email account with an annual volume of 20,000 emails, averaging 1,700/month.

  • Processes transcripts, with an annual volume of 3,500, averaging 300/month and reaching over 500/month in peak processing season.

  • Processes licensure forms for all ATSU graduates throughout their careers.

  • Completes general forms, enrollment and degree verifications, and loan deferment forms for all students, past and present.

  • Responsible for scanning and linking documents to student records.

  • Picks up and delivers mail.

  • Processes, orders, and stocks supplies.

  • Submits purchase orders.

  • Follow up with students on missing information.

  • Maintains monthly transcript statistics.

  • Processes enrollment verification paperwork for the purpose of account creation for current students for the National Board of Medical Education (NBME).

  • Assists with academic files for permanent storage.

  • Retrieves academic records and responds to requests for data by generating reports.

  • Processes student name changes and Family Educational Rights and Privacy Act (FERPA) restrictions requests.

  • Runs reports from the student information system (SIS) as requested.

  • Assists with online ticket system requests for categories assigned.

  • Processes enrollment verification forms for the Health Professions Scholarship Program (HPSP).

  • Processes verification requests through the online Federation Credentials Verification Service (FSMB) portal.

  • Processes credit card transactions for duplicate diplomas, rush verifications, and transcript payments, as needed.

  • Awareness of U.S. Department of Education compliance regulations for higher education.

  • Awareness of ATSU internal policies and Enrollment Services Policies & Procedures Manual.

  • Ongoing training and development in the areas of: Higher Education Act (HEA), federal financial aid programs, academic records, Payment Card Industry (PCI) compliance for credit card processing, FERPA, internal office professional development, and annual ATSU Required Employee Education (REE).

  • Conduct special projects/research as assigned by Assistant Vice President-Enrollment Services or Enrollment Services leadership team and directed by Assistant Director-Enrollment Services.

  • Other duties as assigned.

Qualifications and Experience

  • High school diploma required preferred bachelor's degree.

  • Customer service, written and oral communication skills, computer skills.

  • Training can be learned on the job.

  • Prior customer service skills, demonstrated written and grammatical skills, and demonstration of basic organizational or coordinating skills are needed.

  • 1-2 years of experience working in an administrative environment.

  • Prior experience demonstrating good customer service skills.

  • Proficient computers skills, using MS Word and Excel.

  • Ability to effectively communicate and enforce policies in a courteous tactful manner.

  • Ability to multitask and prioritize in order to meet established deadlines.

  • Must be organized and able to work under pressure in order to meet goals to support admission, University academic year, and compliance deadlines.

  • Ability to maintain confidential information and protect student personally identifiable information per the Title IV security regulations and FERPA.

Work Location

  • Telecommute (ES has a proven track record of providing high quality services to students regardless of location. Performance metrics can be monitored via dashboard. The telecommuting model allows for personal face-to-face/Zoom connection with the team and provides the protected time needed to effectively produce the project work required of the position. All in ES are trained on the importance of cyber-security and on ATSU tools & policies to maintain the highest level of security.)
